Role Purpose
The Project Co-ordinator will provide organised, proactive support to the Projects team, helping to plan and track the delivery of concurrent engineering, lifting equipment and inspection projects across WH Scott's customer base in Ireland and the UK. This is a varied, hands-on role for someone who enjoys keeping complex projects on track, working closely with Project Managers, Project Engineers, Design, Procurement and Field Service colleagues, and with customers and suppliers, to ensure projects are delivered safely, on time and to specification.
Key Responsibilities
Project Support & Co-ordination
Support Project Managers and Project Engineers in planning, tracking and co-ordinating the delivery of lifting equipment, fabrication and engineering projects.
Maintain project trackers, schedules and status reports across multiple concurrent projects, flagging risks, delays or resourcing issues early.
Co-ordinate site surveys, installations, servicing and statutory inspection/examination visits between customers, engineers and internal teams.
Assist with preparing and issuing project documentation, including RAMS, lift plans, method statements, technical submittals and certification packs.
Administration & Documentation
Organise and maintain project files, contracts and purchase orders, ensuring documentation is complete, current and easily retrievable.
Prepare and distribute project reports, meeting minutes and correspondence to internal teams and customers.
Support invoicing and financial tracking for projects in coordination with the Finance team.
Maintain accurate records of inspection reports, certifications and compliance documentation in line with relevant lifting equipment regulations.
Stakeholder & Supply Chain Co-ordination
Act as a day-to-day point of contact for customers and site teams on project queries, escalating where necessary.
Liaise with subcontractors, suppliers and internal departments (Design, Fabrication, Procurement, Field Service) to confirm scope, timelines and resource requirements.
Support procurement activity - raising requisitions, tracking deliveries and following up with suppliers on lead times.
Systems & Reporting
Maintain accurate project and sales order data within Business Central and other internal systems.
Produce regular progress reports for the Projects team and senior management.
Contribute to the continuous improvement of project co-ordination processes, templates and ways of working.
Person Specification
Essential
Experience in a project co-ordination, administration or support role, ideally within engineering, construction, manufacturing or industrial services.
Strong organisational and time-management skills, with the ability to manage multiple concurrent projects and shifting priorities.
Confident user of Microsoft Office (Excel, Word, Outlook), and comfortable learning ERP/CRM systems such as Business Central.
Excellent written and verbal communication skills, with a professional, customer-focused manner.
High attention to detail, particularly when handling technical documentation and compliance records.
A proactive, problem-solving mindset and the confidence to keep multiple stakeholders aligned.
Full, clean driving licence - occasional travel to sites and depots across Ireland will be required.
Desirable
Knowledge of the lifting equipment, rigging, crane or industrial safety/inspection sector.
Familiarity with statutory inspection and certification requirements for lifting equipment (e.g. LOLER, PUWER or equivalent regulations).
Experience reading engineering drawings, lift plans or technical specifications.
A relevant qualification in business administration, project management (e.g. PRINCE2 Foundation, APM PMQ) or engineering.
Experience working across multi-site or multi-entity organisations.
