About the Role
We are seeking a highly organized and experienced Office Administrator / Construction Administrator to join our Internal & External Insulation Company. This role combines office administration responsibilities with construction industry knowledge, supporting both the day-to-day operations of the office and the successful delivery of construction projects.
The ideal candidate will be fluent in both Polish and English, possess strong administrative skills, and have previous experience working within the construction industry, with a good understanding of site operations, subcontractor coordination, and project documentation.
Key ResponsibilitiesAdministration & Office Management
- Develop, implement, and maintain a comprehensive records management and document retention system across all company projects.
- Manage all electronic and postal correspondence, ensuring accurate record keeping and efficient response times.
- Act as the first point of contact for homeowners, subcontractors, suppliers.
- Coordinate office communications and maintain professional relationships with clients and project partners.
- Prepare homeowners' handover packs and ensure all project documentation is complete and accurately maintained.
- Assist management with reporting, scheduling, and administrative support across multiple projects.
- Maintain databases, spreadsheets, and project records using Microsoft Excel and Word.
Construction Administration & Project Support
- Support project managers and site supervisors with project coordination and documentation.
- Liaise with site teams, subcontractors, and suppliers to ensure smooth communication between office and site operations.
- Monitor project progress and assist in maintaining project schedules and deadlines.
- Coordinate material orders and track deliveries to construction sites.
- Assist in preparing project reports and documentation for management and stakeholders.
- Ensure all project records comply with company procedures and industry standards.
- Support Health & Safety compliance by maintaining site documentation and records.
Requirements
To be considered for this position, you should have:
- Previous experience in an administrative role within the construction industry.
- Good understanding of construction site operations and project delivery processes.
- Experience working with subcontractors, suppliers, and construction teams.
- Fluency in both Polish and English (written and spoken).
Pay: €33,000.00-€35,000.00 per year
