McElwain Scaffolding Ltd is seeking a reliable and highly organised Accounts & Operations Assistant to join our team on a full-time basis at our office in Ashbourne, Co. Meath.
This is a varied, fully office-based position combining bookkeeping and accounts support, operational administration, document control and general office organisation.
The successful candidate will support both the Finance Manager and Operations Manager and will play an important role in the day-to-day running of the office. We are looking for someone who is organised, proactive, willing to learn and comfortable managing different responsibilities in a busy working environment.
Key Responsibilities
Bookkeeping & Accounts Support
- Processing and organising purchase and sales invoices
- Maintaining accurate financial and bookkeeping records
- Assisting with accounts payable and accounts receivable
- Checking and reconciling supplier and customer statements
- Maintaining bank, credit card, receipt and payment records
- Assisting with credit control and following up on outstanding accounts
- Preparing spreadsheets and supporting documents for the Finance Manager and external accountants
- Assisting with month-end accounts administration
- Updating Excel, Airtable and other internal company systems
Operations & Document Control
- Supporting the Operations Manager with daily administrative tasks
- Maintaining accurate job, site and operational records
- Checking and filing timesheets, site documents, delivery records and other paperwork
- Following up on missing or incomplete documentation
- Keeping internal systems and job records accurate and up to date
- Assisting with the preparation of operational reports and spreadsheets
- Communicating with employees, supervisors, customers and suppliers when required
Fleet Administration
- Maintaining records for company vehicles
- Monitoring vehicle tax, insurance, CVRT, servicing and maintenance dates
- Assisting with the organisation of servicing, repairs and inspections
- Maintaining driver and vehicle documentation
- Liaising with garages, insurers and service providers when required
General Office Administration
- Managing emails, telephone queries and correspondence
- Maintaining organised digital and physical filing systems
- Preparing letters, forms, reports and other company documents
- Ordering office supplies and managing general office requirements
- Providing general administrative support to the Finance Manager, Operations Manager and wider team
Experience & Skills
- Previous office administration, accounts or bookkeeping experience is preferred
- Basic accounting or bookkeeping knowledge
- Good working knowledge of Microsoft Excel, Word and Outlook
- Strong general computer and IT skills
- Ability to learn new software and internal systems
- Excellent organisational skills and attention to detail
- Ability to manage different priorities in a busy environment
- Confident communicating with employees, customers, suppliers and management
- Ability to work independently and as part of a small team
- Reliable and interested in a stable, long-term position
- Good written and spoken English
- Permission to work full-time in Ireland
Experience with Airtable, accounting software or the construction industry would be an advantage but is not essential. Portuguese language skills would also be beneficial. Training on the company’s systems and procedures will be provided.
Position: Full-time, permanent
Hours: Monday to Friday, 39 hours per week
Location: Ashbourne, Co. Meath – fully office-based
Salary: To be agreed, depending on experience
