About the Role
We are seeking an enthusiastic, organised and customer-focused Accommodation Assistant - Finance to join our Accommodation Office team on a permanent full-time basis. This is a varied and rewarding role that sits at the heart of both the Accommodation and Finance functions within Campus Life Services. Reporting to the Director of Hospitality and Residential Services and working closely with the Academic Year Finance Assistant, you will support a wide range of financial, administrative and operational activities throughout the academic year and busy summer period. This position offers a unique opportunity to work across multiple departments, providing valuable support in areas including student finance, accommodation administration, accounts processing, reporting and customer service. The successful candidate will play an important role in maintaining financial controls, ensuring procedural compliance and supporting the smooth operation of student accommodation services. The role is ideal for someone who enjoys working in a fast-paced environment, values teamwork and takes pride in delivering accurate, high-quality work while providing excellent service to students and colleagues.
Key Responsibilities
- Assist with accounts receivable and accounts payable processes through our management system.
- Support the administration of student debt management processes and associated reporting.
- Respond professionally and efficiently to queries relating to accommodation fees, payment plans, charges and refunds.
- Assist in the preparation and reconciliation of room occupancy and revenue reports.
- Maintain and administer accommodation rate schedules and supporting documentation.
- Assist with the preparation and processing of student refunds.
- Support the administration of energy-related charges and refunds.
- Complete village timesheet reconciliations and associated reporting.
- Assist with the preparation and processing of accommodation deposit refunds.
- Process daily online payments for Academic Year accommodation where required.
- Reconcile village lodgements and investigate any discrepancies.
- Manage returned deposit refunds and respond to related queries.
- Support the Finance Department with additional duties and projects as required.
- Carry out all duties in a timely, accurate and professional manner, ensuring compliance with established procedures and controls.
The ideal candidate will
- Have previous experience in a finance, administrative or customer service role.
- Strong attention to detail and excellent organisational skills.
- The ability to manage multiple tasks and meet competing deadlines.
- Excellent communication and interpersonal skills.
- A positive, proactive approach to problem-solving.
- Good working knowledge of Microsoft Office applications, particularly Excel.
- Experience working with financial or accommodation management systems would be an advantage.
- The ability to work collaboratively as part of a team while also using initiative and working independently.
- A commitment to delivering excellent customer service.
Qualification
A third‑level qualification in a finance related discipline is considered an advantage.
