We are looking for an enthusiastic, proactive, and forward-thinking operations manager to work closely with our finance manager and help shape the future of our practice.
We are a tight-knit, busy clinical training practice based across two locations, Bundoran and Ballyshannon, in South Donegal with excellent public transport links and easy access to local amenities. Having grown and expanded in recent years to a 10 GP partner practice, our team is committed to building upon the high-standard service provided over the past 30+ years.
ABOUT THE ROLE:
The Operations manager will oversee the daily operations and administration of the practice working closely with the finance manager who oversees the finances of the practice. You will manage and support staff, and ensure a seamless, positive experience for every patient connecting with our clinic.

Key Responsibilities:
Operations & Workflow Management
- Oversee day-to-day operations to ensure smooth workflows, high-quality administrative support for clinicians, and excellent patient service.
- Develop, implement, and refine standard operating procedures to continuously optimise practice efficiency.
- Manage and address patient feedback and complaints with professionalism.
- Schedule, organise, and attend practice and partner meetings with responsibility for minutes
- Maximise the use of IT systems (and developing procedures to ensure the effective running of the practice information systems)
Team Leadership & HR
- Lead, coach, and develop the administrative team. Manage rotas, performance, and training. Build a culture of professionalism, accountability, and excellent service.
- With appropriate input from GP partners and staff set strategic and annual goals and objectives for the practice.
- Improve systems and timely implementation of agreed objectives.
- Directly manage, develop and motivate staff, with the aim of building an effective and engaged team.
- Provide leadership to the team, through regular meetings, objective setting, and effective communication.
- Identify and appointment of new staff as required.
- Induct new staff, clinicians and locums into practice processes.
- Manage admin roster, doctor and nurse sessions to ensure adequate cover and monitor / adjust in line with seasonal requirements.
- Maintain adequate relief staff to cover holidays or absence, being aware of costs but also meeting business needs.
- Define and maintain clear roles and responsibilities for practice staff and address all relevant human resource matters appropriately.
- Identify and implement appropriate training needs of practice staff.
- Conduct annual staff appraisals for admin and nursing staff in conjunction with relevant parties.
- Ensure compliance to proper conditions of employment, to include current employment legislation and recognised good practice.
- Establish appropriate policies and procedures for the practice and ensure staff are adequately trained on these.
- Maintain ongoing compliance to agreed policies and procedures.
- Promote continuous improvement in systems and elimination of all non-value adding activities.
- Facilitate practice meetings between practice staff and GPs.
- Instigate appropriate improvement /change projects to achieve practice goals and objectives.
Key Skills
- Proficient computer skills, including working knowledge of Microsoft Office Suite, Patient Management Software, e-mail systems, and web-based programs

- General Practice: 1 year (preferred)
