Job Overview
As a Administrative Assistant, you will play a vital role in supporting the day-to-day operations of our real estate investment company. You will be responsible for providing administrative assistance to multiple departments and assisting with various tasks related to property management and operations. This is a long-term position, and we are looking for a motivated individual who is eager to grow with the company.
Key Responsibilities
Administrative Support:
- Assist with general administrative tasks, including answering phone calls, responding to emails, scheduling appointments, and managing calendars.
- Maintain accurate and up-to-date records, databases, and filing systems.
- Prepare and distribute documents, reports, and correspondence as needed.
Property Management Assistance:
- Support property managers in handling tenant inquiries, complaints, and requests.
- Assist with the onboarding and offboarding processes for tenants, including lease agreements, background checks, and move-in/move-out inspections.
- Coordinate repairs, maintenance, and renovations for properties as required.
- Assist in conducting property inspections and preparing inspection reports.
- Manage rental listings and update property information on various platforms.
Communication and Relationship Management:
- Communicate professionally and effectively with tenants, property owners, vendors, and other stakeholders.
- Maintain positive relationships with tenants, addressing their concerns and resolving issues promptly and efficiently.
- Collaborate with team members to ensure smooth communication and coordination across departments.
Facilities and Cleaning Coordination:
- Recruit, onboard, and schedule cleaning personnel for various properties and events.
- Develop, maintain, and personally perform daily, weekly, and deep-cleaning tasks across all sites.
- Assign and monitor cleaning tasks to ensure quality standards and timely completion.
- Coordinate with vendors and cleaning contractors to manage supply needs and resolve service issues.
- Support facility maintenance efforts by reporting and tracking issues, and assisting in follow-ups as needed.
Data Management and Reporting:
- Collect and compile data related to property occupancy, rental rates, and market trends.
- Assist in generating reports, analyzing data, and providing recommendations for property improvements or adjustments to rental strategies.
- Maintain confidentiality and handle sensitive information with discretion.
Required Skills & Qualifications
- High school diploma or equivalent; further education in business administration or real estate is a plus.
- Proficiency in Spanish and Basic Conversational English
- Previous experience in administrative roles or property management is preferred.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent verbal and written communication skills.
- Proficiency in using office software and tools (e.g., Microsoft Office Suite, Google Workspace).
- Familiarity with property management software and platforms is desirable.
- Attention to detail and ability to maintain accurate records.
- Problem-solving abilities and a proactive approach to tasks.
- Ability to work independently as well as in a team environment.
- Knowledge of the local real estate market and regulations is advantageous.
