The Role
A new vacancy for an Office Manager is now available in our Dublin office in Citywest. In this role you will work 3 days a week.
Duties
- Work with the Managing Director providing confidential support, seamless coordination and informed decision making.
- Liase with The Company’s Ireland Team and assist UK colleagues as required.
- The Company’s Internship Programme - Liaise with Universities to hire Intern – screen CV’s and select candidates for interview, interview and hire Intern – liaise with HR to begin employment process, mentor successful intern.
- HR – Starters / leavers process (Equipment return)
- Work with Global colleagues (Real Estate, Inventory, Community Involvement Volunteering)
- Ensure all office policies, procedures, and compliance requirements are followed.
- Intranet - updates for Ireland
- Car Fleet – Raise PO’s, Liaise with lease company / Company Finance / Procurement
- Complete all HR4U (Company Training System )Trainings promptly
- Site Security Assistant (Assist MD)
- Management of supplier invoices (procedures, queries / coding). Raise PO’s, approve workflows in SAP, liaise with suppliers and finance to resolve issues and payment delays. New vendor applications and approve/code workflows in SAP.
- Team event organiser
- Monitor Company ’s Enquiries Inbox and Company phone line daily.
- Organise confidential shredding / destruction
- Monitor and maintain office supplies inventory.
- Collect post, direct all Revenue / CRO / Solicitors / Insurance documentation as appropriate.
- Support Compliance, Speak Up Line testing and ad hoc mailings.
- IT – Liaise with Uniphar (Wholesaler) IT / Global IT / regarding issues with network / servers / printer
Who You Are

5+ years experience. preferably in a pharma company with previous experience with in-house systems desirable

Educated in Business Administration/Management
