Role Overview
The Compass Clinic are seeking an experienced and highly organised part-time (20 hours/week) Administrative Assistant to support the daily operations of the clinic as part of our admin team at our clinic in Ballinlough, Cork. This role is central to ensuring a smooth client experience and efficient clinic management. The successful candidate will have strong communication skills, excellent attention to detail, and the ability to work both independently and as part of a small, committed team.
Please note this role involves afternoon working hours, typically 1:00 to 5:00pm, Monday to Friday. Some flexibility will be required, but candidates must be available during the afternoon.
Please note that we are unable to offer employment to candidates who do not already hold the right to work in Ireland, as we are not in a position to provide visa sponsorship.
Interviews are expected to be held Friday Sept 4th 2026 with a projected start date of Monday Sept 21st.
Key Responsibilities
- Answering incoming telephone calls and responding to voicemails in a professional and empathetic manner
- Monitoring and replying to emails promptly, providing accurate information to clients and prospective clients
- Scheduling appointments, managing clinicians’ calendars, and sending reminders as appropriate
- Preparing and issuing intake forms and other documentation ahead of appointments
- Responding sensitively and efficiently to client queries about services, processes, and fees
- Maintaining up-to-date client records in compliance with GDPR and clinic policies
- Overseeing general office management, including ordering supplies, liaising with building management, and managing day-to-day operational tasks
- Providing administrative support to the clinical team as needed
Person Specification
Essential Criteria
- Excellent verbal and written communication skills
- Strong organisational skills, with high attention to detail
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to quickly learn required scheduling software
- Ability to manage multiple priorities calmly and efficiently
- Discretion and professionalism in handling confidential information
- Ability to work independently with minimal supervision
- Availability for afternoon working, with additional flexibility to cover annual leave when needed (this may require full day working at times)
Desirable Criteria
- Experience in a healthcare, mental health, or allied health environment
- Familiarity with GDPR requirements within a clinical setting
- Experience with client management or booking systems
