Job Description:
Job Purpose: We are recruiting a highly organised Part-Time General Administrator for our organisation. This new part-time role will be 20 hours per week, 4 hours per day and requires an on-site presence. This position requires a confident person who is adaptable and willing to turn their hand to adhoc tasks as and when they arise.
Person Specification:
· Good computer literacy including proficiency in MS Word & Excel
· Excellent communication and organisational skills
· Ability to work on own initiative and as a team player
· Ability to set up priorities and complete tasks to schedule
· Strong attention to detail and willingness to learn and grow within the position
Job responsibilities include but not limited to:
· Receiving repair requests from tenants and scheduling contractors to undertake repairs. Liaising with tenants and contractors until the repair is confirmed and completed.
· Maintenance of the repairs register.
· Responsibility for Tenant credit control by ensuring that rents are received each week and recorded promptly in the Tenants Rent Account.
· Liaise with suppliers and ordering goods and services.
· Schedule all annual health and safety checks with Contractors and Tenants.
· Maintenance of Tenant & Asset Database.
· Assist in the preparation of monthly, quarterly and annual reports and returns
· Respond to and manage all incoming and outgoing communication, including emails, phone calls, and letters.
· Support the various teams within the organisation as needed
· Manage office supplies and equipment, including ordering and restocking
· Plan and coordinate events, meetings, and conferences
· Take minutes and accurately enter data
· Develop and carry out an efficient documentation and filing system
· Any other duties that may arise from time to time
Essential Requirements:
· Previous experience in an administrative role and be able to demonstrate strong numerical and IT skills particularly in Excel and Word.
· Excellent communication skills.
· Excellent proficiency in the English spoken & written language
· Ability to prioritise and to work to deadlines
· Organised and efficient with excellent attention to detail
· Methodical approach to work tasks.
· Systematic with the ability to concentrate on tasks, tie up loose ends and see jobs through to conclusion
· Good organisational skills and the ability to prioritise workload.
· Full Drivers Licence
