The administrator will provide high-quality administrative and coordination support to the Deals Advisory & Corporate Recovery team. The successful candidate will play a key role in ensuring the efficient operation of the department through effective diary management, client onboarding support, billing administration, meeting coordination, and general team support. Administrative Support
- Provide comprehensive administrative support to the Deals Advisory & Corporate Recovery team.
- Manage and coordinate diaries, meetings, and appointments for Partners, Directors, and wider team members as required.
- Arrange meeting rooms, video conferencing facilities, and catering where necessary.
- Prepare and distribute meeting agendas, documentation, and presentations.
- Maintain accurate department records and filing systems.
Meeting Coordination
- Organise internal team meetings and project update meetings.
- Take meeting minutes and record key actions arising.
- Track and follow up on action items to ensure timely completion.
- Coordinate attendance and circulate relevant information to stakeholders.
Client Take-On & Conflict Checks
- Support the administration of new client acceptance and onboarding procedures.
- Prepare and circulate conflict check requests in accordance with firm policies.
- Monitor responses and escalate issues where required.
- Assist with maintaining compliance-related documentation and records.
Billing & Financial Administration
- Support the preparation and processing of client billings and fee schedules.
- Liaise with engagement teams to ensure billing information is accurate and submitted on time.
- Assist with monitoring outstanding billing requests and follow up where appropriate.
- Support ad hoc reporting and administrative tasks relating to financial processes.
Timesheet Administration
- Assist team members with timely completion and submission of timesheets.
- Monitor outstanding timesheets and issue reminders as required.
- Support the accuracy and completeness of time recording information.
General Office & Team Support
- Manage incoming correspondence, emails, and telephone enquiries.
- Assist with document production, proofreading, and formatting of reports and correspondence.
- Coordinate travel arrangements and expense submissions where required.
- Support departmental projects and process improvement initiatives.
- Undertake other ad hoc administrative duties as required.
Essential
- Previous experience in an administrative, team assistant, or coordinator role.
- Excellent organisational skills with the ability to manage multiple priorities.
- Strong attention to detail and accuracy.
- Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- Professional and confidential approach to handling information.
Desirable
- Experience working within a professional services, legal, accounting, or corporate environment.
