Job Summary
As a Senior Receptionist, you will play a key role in delivering an exceptional guest experience while supporting the day-to-day leadership of the Reception team. You will lead by example, ensuring the highest standards of guest care, professionalism, and operational efficiency are consistently maintained. Key Responsibilities
- Provide a warm, professional, and memorable welcome to all guests, ensuring an outstanding first and last impression of the hotel.
- Lead by example in delivering exceptional customer service and supporting colleagues in maintaining high service standards.
- Assist the Reception Manager in the daily operation of the Front Office department and ensure smooth service delivery across all shifts.
- Act as a point of contact for reception team members, providing guidance, support, and coaching as required.
- Support the onboarding and training of new reception team members, helping to develop knowledge, confidence, and performance.
- Check guests in and out efficiently, ensuring accuracy and adherence to hotel procedures.
- Handle guest queries, special requests, and complaints professionally, taking ownership to resolve issues promptly and effectively.
- Process payments, room charges, and guest billing with accuracy, integrity, and attention to detail.
- Answer and direct telephone calls promptly and professionally, maintaining a positive and helpful approach at all times.
- Manage reservations, amendments, and cancellations while maximising occupancy and revenue opportunities where appropriate.
- Liaise closely with Housekeeping, Food & Beverage, Maintenance, Sales, Reservations, Leisure Club, and other departments to ensure a seamless guest experience.
- Monitor room availability, guest arrivals, departures, and VIP requirements, escalating issues where necessary.
- Respond to guest correspondence and emails in a timely, professional, and guest-focused manner.
- Create and update menus, signage, promotional materials, and guest information using Canva as required.
- Assist with administrative duties, reporting, and daily reception audits.
- Ensure reception cash handling and end-of-shift reconciliation procedures are completed accurately.
- Support the Reception Manager with rota planning, shift handovers, and operational communication.
- Maintain a clean, organised, and welcoming front office environment at all times
- .Ensure full compliance with hotel policies, procedures, health and safety requirements, and service standards.
- Identify opportunities to improve processes, enhance guest satisfaction, and support the continuous development of the Front Office operation.
Requirements
- Minimum of 3 years’ experience in a receptionist or front‑office role, preferably within a hotel environment.
- Proficiency in reservation systems (GuestLine, Hotsoft & SiteMinder preferred).
- Strong communication and interpersonal skills, with a natural sense of care for guests and colleagues.
- Ability to multitask and stay composed in a high‑pressure environment, bringing energy and drive to daily responsibilities.
- Professional and friendly demeanour with a customer‑first approach and a commitment to doing the right thing.
- A proactive attitude with a willingness to learn, adapt, and always get better.
- Flexibility to work day & evening shifts including weekends as required.
