About Nuts in Bulk
Nuts in Bulk is a growing bulk wholefoods e-commerce business supplying nuts, dried fruit, seeds, grains and health foods and other food ingredients to customers across Ireland, the UK and the wider EU. We operate online storefronts covering both retail (direct-to-consumer) and wholesale (business) customers, and we run our own warehousing, packing and fulfilment operation.
We are a small, hands-on team. Everyone here has real ownership of their area, and the work you do is visible in the customer experience every single day.
The Role
We are looking for a Customer Service & Order Administrator to be the first point of contact for our customers and to keep our daily order operation running smoothly. Roughly half of your time will be spent looking after customers on the phone and by email, and the other half on the administrative work.
It is a varied, fast-moving role that suits someone who is organised, calm under pressure, and genuinely enjoys helping people.
Key Responsibilities
Customer Service
- Answer all inbound customer calls promptly and professionally, resolving queries at first contact wherever possible.
- Manage the shared customer service inbox jointly with the Sales & Customer Service Lead, responding to email enquiries within agreed response times.
- Handle enquiries relating to products, stock availability, pricing, delivery times, order status and account setup.
- Track shipments with our courier partners and proactively update customers on delays, exceptions or failed deliveries.
- Process and follow through on returns, replacements, refunds and damage claims in line with company policy.
- Support wholesale and business customers with quotations, repeat orders and account queries.
- Record customer interactions accurately so that any colleague can pick up a case without the customer having to repeat themselves.
Order Management & Administration
- Process incoming orders across our online storefronts, checking each order for accuracy before release.
- Print and prepare shipping labels and delivery documentation for Irish and EU consignments.
- Generate and issue invoices and proforma invoices to customers.
- Prepare and print daily production and picking lists for the warehouse and packing teams.
- Book collections and consignments with courier partners and maintain accurate despatch records.
- Flag stock shortages, mis-picks and order discrepancies to the relevant team so they can be corrected before despatch.
- Provide general office and administrative support, including filing, documentation and simple reporting as required.
Escalation and Support
You will not be left to deal with difficult situations alone. Day-to-day enquiries are yours to own and resolve. Anything more complex such as a disputed order, an unusual request, a commercial decision or a complaint you cannot settle within policy is escalated to the Sales & Customer Service Lead. From there, matters requiring a management decision go to the General Manager, and where necessary to the Directors for consultation. The path is clear and you will always know who to go to.
What We Are Looking For
Essential
- At least 1–2 years' experience in a customer service, order processing, sales support or office administration role.
- Excellent spoken and written English, and confidence handling calls with customers.
- Strong attention to detail — orders, invoices and labels have to be right first time.
- Good computer literacy: email, Microsoft Office or Google Workspace, and the ability to pick up order management and courier systems quickly.
- Strong organisational skills and the ability to prioritise between calls, emails and despatch deadlines.
- A calm, professional and solution-focused approach when dealing with customer issues..
Desirable
- Experience in e-commerce, retail, FMCG, food or logistics.
- Awareness of food safety principles and HACCP, or a willingness to complete food safety training with us.
- Experience using courier portals such as DPD, FedEx or An Post.
