About Momentum Healthcare
Momentum Healthcare is an Irish medical device company specialising in wheelchairs, mobility equipment, pressure care and associated products. We pride ourselves on providing a high level of service to our customers, trade partners and healthcare professionals.
We are looking for an organised, proactive and customer-focused Spare Parts & Customer Service Coordinator to take ownership of our spare parts operation.
The Role
You will be responsible for managing the complete spare parts process, from the initial customer enquiry through to sourcing, ordering, delivery and returns. You will act as the main link between customers, manufacturers, suppliers, sales representatives and our warehouse team, ensuring that information flows efficiently and that customers receive clear and timely updates.
The role requires someone who is highly organised, comfortable working with detailed product information and long part numbers, and who can manage multiple enquiries and orders without losing track of outstanding actions.
Key Responsibilities
Spare Parts & Orders
Manage all spare parts enquiries from trade customers, private customers, healthcare professionals and end users.
Identify and source the correct spare parts using product codes, serial numbers, diagrams, manuals and manufacturer information.
Prepare and issue quotations and follow up outstanding quotations.
Process spare parts orders accurately and efficiently.
Liaise with manufacturers and suppliers to source parts, obtain pricing and confirm availability and lead times.
Monitor backorders and outstanding supplier orders and ensure customers are kept informed.
Coordinate with the warehouse to ensure parts are picked, packed and dispatched correctly.
Arrange deliveries and track orders through to completion.
Customer Service
Deal professionally and confidently with customers by telephone and email.
Provide clear updates on orders, delays, backorders and expected delivery dates.
Manage customer expectations and resolve problems efficiently.
Build strong working relationships with trade customers and end users.
Take ownership of customer queries and ensure they are followed through to resolution.
Returns & Warranty
Manage the complete spare parts returns process.
Liaise with customers, suppliers, manufacturers and the warehouse regarding returned goods.
Arrange replacement parts, credits and warranty claims where appropriate.
Track returns until fully resolved and ensure all relevant records are updated.
Identify recurring issues and communicate these to management.
Warehouse & Supplier Liaison
Work closely with the Warehouse Manager to coordinate stock, picking, deliveries and returns.
Investigate discrepancies between orders, deliveries and stock received.
Liaise with manufacturer representatives and suppliers to resolve technical, stock and delivery issues.
Maintain accurate records of outstanding orders, backorders, returns and supplier queries.
Administration & Organisation
Manage a busy shared inbox and ensure emails are responded to and followed through.
Keep accurate records of enquiries, quotations, orders, supplier communications and returns.
Maintain a clear system for tracking outstanding actions and ensure nothing is left unresolved.
Work closely with the wider team to ensure excellent communication between sales, warehouse, finance and customers.
Assist with improving processes and systems within the spare parts department.
About You

Experience
Experience in one or more of the following would be advantageous:
Spare parts or parts administration.
Technical customer service.
Medical devices or healthcare.
Automotive or motor factors.
Engineering or industrial parts.
Mobility equipment.
Logistics or distribution.
Order processing and supplier management.
Previous medical device experience is not essential. We are more interested in finding someone with the right attitude, organisation, attention to detail and ability to learn.
What Success Looks Like
The successful candidate will become the person who owns spare parts from beginning to end. Customers will receive timely responses and regular updates. Orders will be accurately processed and followed through. Suppliers will be chased when required. The warehouse will know what is happening. Returns will be properly tracked and resolved.
Most importantly, nothing will fall between the cracks.
