The Role – HR Administrator/Recruiter - 3 months fiexd term contract with the view of extension
We are seeking a proactive and detail-oriented HR & Recruitment Administrator to join our growing HR team in Ireland. This is a hybrid role combining day-to-day HR administration with end-to-end recruitment coordination, making it ideal for someone who enjoys variety and wants broad exposure across the employee lifecycle. You will be the first point of contact for many employee queries and a key support to hiring managers throughout the recruitment process, so strong organisational skills and a genuine interest in people are essential.
Key Responsibilities
Recruitment:
- Manage end-to-end recruitment administration: posting job advertisements, screening applications, and scheduling interviews
- Liaise with hiring managers to understand role requirements and agree recruitment timelines
- Act as the main point of contact for candidates throughout the recruitment process, ensuring a positive candidate experience
- Manage job board postings (e.g. Indeed, Activelink, The Wheel)
- Issue and track employment contracts, reference checks, and garda vetting
- Support employer branding initiatives, including careers page content and recruitment events/career fairs
- Prepare recruitment activity reports, including time-to-hire and source-of-hire metrics
HR Administration:
- Maintain accurate and up-to-date employee records in the HRIS, ensuring compliance with GDPR and company data retention policies
- Prepare contracts of employment, offer letters, and other employee documentation in line with Irish employment legislation
- Coordinate the onboarding process for new starters, including induction scheduling, IT/equipment setup liaison, and Day 1 readiness
- Process changes to employee records (promotions, salary changes, role changes) and update systems accordingly
- Track probation periods, performance review cycles, and statutory leave (annual leave, sick leave, parental/maternity/paternity leave) in line with Irish employment law
- Assist with the preparation of HR reports and metrics (e.g. headcount, turnover, absence) for management
- Support employee relations administration, including notetaking and documentation for meetings where required
- Help maintain HR policies and the employee handbook in line with current Irish employment legislation
The Person:
Essential requirements:
- At least 1 year experience in an HR administration, recruitment coordination, or related HR support role
- At least 1 year experience supporting recruitment for multiple roles/departments simultaneously
- Working knowledge of Irish employment legislation
- Strong organisational skills with the ability to manage multiple priorities and deadlines
- Excellent verbal and written communication skills
- High level of discretion and ability to handle confidential information appropriately
- Experience in IT (Microsoft Office, HRIS systems)
- Right to work in Ireland
- Being able to pass garda vetting
- Clear full driving licence and access to a car
Desirable requirements:
- CIPD qualification or related HR qualifications
- Experience in using Softworks or similar system
- Working knowledge of charity sector in Ireland

- Monday to Friday – 9.00am to 5.30pm
- Dublin
- On-site requirement of 4 days per week, working from home possible on Fridays
- Travel expected between the 3 (expanding to 4 by the end of 2026) different refuges around Dublin
