HR Administrator- 6 month fixed-term contract
The Tram Café is looking for an experienced and highly organised HR Administrator to support our managers and employees across our chain of cafés, kitchen, bakery and head office.
This is a standalone, hands-on HR role with responsibility for managing and coordinating the day-to-day HR function across the Company. Working independently and reporting directly to the Operations Manager, the successful candidate will provide HR support to managers and employees throughout the full employee lifecycle, including recruitment, onboarding, training, employee relations, absence management, immigration compliance, employee benefits and general HR administration.

Location: Head Office, 131E Slaney Road, Dublin Industrial Estate, Glasnevin, Dublin 11, with travel to other Company locations as required.
Start Date: 12th October 2026
Hours: 40 hours per week
Salary: €36,000 per annum
Working Arrangement: Hybrid – primarily office-based, with one work-from-home day per week, subject to agreement and business requirements
Key Responsibilities
- Coordinate recruitment campaigns, including advertisements, application management, interviews, trial shifts and candidate communication.
- Work with managers to prepare job descriptions and support selection and interview processes.
- Complete reference checks and prepare offer letters, contracts and other employment documentation.
- Manage the onboarding process, including right-to-work checks, induction arrangements, system set-up, employee records and uniforms.
- Maintain accurate and confidential employee files, including contracts, medical information, visa and employment permit documentation.
- Track probation periods, fixed-term contracts and review dates, following up with managers to ensure actions are completed.
- Coordinate employee training, including HACCP, manual handling and other role-specific courses, while monitoring certificates and renewal dates.
- Provide first-line HR/ employment law guidance to managers and employees on Company policies and procedures.
- Support informal and formal employee meetings, including probation, performance, absence, disciplinary and grievance matters.
- Assist with investigations through meeting coordination, note-taking, correspondence and report preparation.
- Maintain visa, immigration permission and right-to-work records, monitor expiry dates and follow up on required documentation.
- Assist with employment permit applications and renewals where applicable.
- Manage short-term and long-term absence administration, including medical certificates, fitness-to-work documentation and return-to-work processes.
- Maintain accident and incident forms and related employee documentation.
- Administer employee benefits, including the Bike to Work Scheme, Employee Assistance Programme and well-being initiatives.
- Liaise with managers, payroll, training providers, recruitment platforms and other external service providers.
- Review and update the Employee Handbook and HR policies to support legal compliance and consistent Company practices.
- Undertake other reasonable duties appropriate to the role, as directed by the Operations Manager.
Requirements
- At least three years’ relevant experience in an HR administration/ HR management
- Good working knowledge of Irish employment law and HR best practice.
- Experience supporting visa documentation or employment permit applications.
- Practical experience in recruitment, onboarding, employee records, absence management and employee relations.
- Strong organisational and administrative skills, with the ability to manage multiple deadlines.
- Excellent written and verbal communication skills.
- High attention to detail and the ability to handle confidential information appropriately.
- Strong working knowledge of Microsoft Office, Adobe and Bizimply.
- Ability to work independently, use good judgement and escalate issues when required.
Desirable
- A recognised qualification in Human Resources, employment law or a related discipline.
- Experience working in hospitality, retail, food production or another multi-site environment.
