We are seeking an experienced and highly organised Accounts & Operations Administrator to join our team on a full-time basis.
This is a varied, hands-on role combining bookkeeping and accounts administration with logistics, fleet management, docket control and general office administration.
The successful candidate will play an important role in the day-to-day running of the business and will work closely with the Managing Director, drivers, customers and suppliers. We are looking for someone who is organised, proactive and comfortable managing several areas of a busy operational business.
Key Responsibilities
Bookkeeping & Accounts
- Day-to-day bookkeeping using Xero
- Processing purchase and sales invoices
- Bank and supplier reconciliations
- Accounts payable and accounts receivable
- Credit control and following up on outstanding accounts
- Maintaining accurate financial records
- Liaising with suppliers, customers and external accountants
- Assisting with month-end accounts administration
Fleet Management
- Maintaining accurate records for the company fleet
- Monitoring vehicle tax, insurance, CVRT, servicing and maintenance requirements
- Coordinating vehicle servicing, repairs and inspections
- Maintaining driver and vehicle documentation
- Liaising with garages, suppliers and service providers
- Keeping fleet records and systems accurate and up to date
Docket Control
- Managing and controlling incoming driver and site dockets
- Checking dockets for accuracy and completeness
- Matching dockets to jobs and customers
- Ensuring all completed work is correctly recorded for invoicing
- Following up on missing or incomplete dockets
- Maintaining an organised docket filing and tracking system
- Working closely with accounts to ensure all completed work is captured and invoiced
Office Administration
- General day-to-day office administration
- Maintaining company records and documentation
- Managing emails, telephone queries and correspondence
- Supporting the Managing Director and wider team
- Ordering office supplies and managing general office requirements
Experience & Skills
- Previous bookkeeping/accounts administration experience is essential
- Strong working knowledge of Xero
- Excellent administration and organisational skills
- Strong Microsoft Excel and general IT skills
- Excellent attention to detail
- Ability to manage multiple priorities in a busy environment
- Confident communicating with drivers, customers, suppliers and management
- Ability to work independently
Pay: €28,300.00-€35,000.00 per year
