The Role
This is a high-impact Executive Business Partner role supporting the CEO and broader Leadership Team.
The role goes significantly beyond traditional diary and admin support – it is positioned as a trusted partner to leadership, enabling focus, driving structure, and ensuring operational excellence across executive priorities.
You will be at the centre of how the company operates at leadership level – coordinating board activity, supporting key strategic initiatives, and ensuring external engagement is delivered to a consistently high standard.
This is a hands-on role – while closely aligned to leadership and strategy, it will require direct ownership of day-to-day execution and delivery.
Key Responsibilities
Executive & Leadership Support
- Act as the primary support to the CEO, managing a complex and evolving schedule across multiple geographies
- Coordinate Leadership Team cadence (leadership team meetings, monthly reviews, strategic sessions)
- Prepare high-quality briefing materials to ensure leaders are fully aligned and informed
- Support prioritisation and follow-through on key actions to drive pace and accountability
Board & Governance Coordination
- Own end-to-end preparation for Board and governance meetings
- Collation and review of board packs and supporting materials
- Coordination of inputs across finance, operations and leadership
- Ensuring quality, consistency, and alignment to company narrative
- Manage logistics, scheduling and follow-up actions from board meetings
- Maintain governance documentation and ensure strong organisational discipline
Operational & Office Administration
- Oversee core office administration to ensure a smooth, professional environment
- Support internal events, leadership offsites, and company-wide sessions
- Identify opportunities to improve processes, reduce manual effort, and introduce structure
Travel, Expenses & Logistics
- Manage complex travel planning across Ireland, UK and international locations
- Ensure travel is cost-effective, well-planned and aligned with internal policy
- Coordinate accommodation, logistics, and itineraries across multiple stakeholders
- Support expense management and approvals
Project & Strategic Support
- Provide support across cross-functional initiatives and leadership priorities
- Track progress on key actions emerging from leadership discussions
- Assist in the preparation of presentations, reports and internal communications
- Act as a “connector” across teams to ensure alignment and follow-through
What We’re Looking For
Essential
- Degree qualification or equivalent experience
- Proven experience supporting senior executives or leadership teams
- Experience in a fast-paced, high-performance environment (professional services, construction, consulting or similar preferred)
- Strong experience in board or senior stakeholder coordination
- Confidence using AI tools, to improve productivity, research information and streamline administrative tasks
