The Freight Operator is responsible for the fast and efficient flow of goods on behalf of our customers from the sender to the receiver.
This role holds a number of responsibilities:
Customer Service
- Providing comprehensive logistics solutions based on the needs of the client.
- Maintaining excellent communication with customers, providing timely updates of shipments.
- Evaluating potential clients’ shipping needs and recommending appropriate solutions.
- Assessing carrier performance based on customer feedback and implementing changes where necessary.
- Establishing relationships with vendors and suppliers to develop new business opportunities.
- Negotiate and arrange transport of goods
- Communicating with carriers relating to transport updates, issues affecting the carrier, delivery times etc.
- Resolve any issues that may arise during shipping, such as delays or damaged goods.
Administration
- Tracking shipments using WMS software system (Azyra/SAP).
- Prepare and process documentation required for customs clearance and other international shipping requirements.
- Reviewing shipping documentation to ensure compliance with company standards and industry regulations e.g., customs.
- Maintaining records of all incoming and outgoing shipments.
- Ensure all customs procedures/regulations for freight are complied with to maintain AEO Status.
- Accessing multiple data bases to monitor, track, and verify incoming and outgoing shipments.
- Non-conformance reporting in accordance with the KPI’s.
- Create, update, and execute SOPs for new and existing processes.
Accounts
- Assisting with the identification of cross sell/up sell opportunities to the customers.
- Responding to tender requests and providing quotations.
- Coordinating with shipping companies to negotiate rates and schedules for shipments.
- Statement reconciliation and ensure carriers are paid on time.
- Assisting with resolving any billing/equipment disputes that arise from operational activities.
- Understand and input applicable financial components of shipments for proper billing of customers.
- Bad debt management
- Profitability weekly reviews
Freight Forwarding
- Understanding the importance of Standard Trading Conditions and their incorporation into International Contracts.
- Understanding the difference in the level of liability when acting as an Agent or as a Principal/Carrier.
- Know the complete and accurate information (Shipper’s Instructions) to be received in writing from the Shipper for every consignment.
Road Transport
- Understanding of the regulations of Road transport.
- Understanding of the most often used vehicles and documentation required for road movements – domestic and international.
- Understanding of the liabilities of Hauliers under Standard Trading Conditions (IRHA) and International Conventions (CMR).
- Understanding of a National and International Road Haulage Operators Licence, qualifying criteria, and validity of licence.
- Awareness of Safety and Security/Cargo crime during transportation of goods.
- Calculation of freight rates on a per loading metre basis.
- Following procedures and operational requirements encountered during an end-to-end freight journey.
- Evening and Weekend unpaid on-call to attend any transport related issues
Customs Clearance

Insurance
- Understanding of liability, marine insurance, and goods in transit insurance.
- Understanding of liability in different Transport Modes and application of different International Conventions.
- Calculation of the value of the goods for insurance purposes.
- Understanding of Freight Forwarder’s Liability.
- Following correct procedures in the event of a claim.
Sustainability
· Support the development and implementation of transport solutions that improve operational efficiency while reducing environmental impact.
· Contribute to initiatives focused on reducing transport-related carbon emissions through route optimization, capacity utilization, modal selection, and network design.
· Monitor and support sustainability objectives in line with customer and company environmental commitments.
Communication
· Fluent spoken and written English.
· Professional working proficiency in the following European languages:
· Ability to communicate effectively with customers, carriers, and partner offices across Europe.
Quality
· Ensure all shipments are managed in accordance with company procedures and quality standards.
· Maintain accurate and auditable operational records.
· Monitor service quality and proactively address operational deviations.
· Support internal and external quality audits as required.
· Participate in root cause investigations and corrective action implementation.
· Contribute to continuous improvement initiatives designed to enhance service quality, operational efficiency, and customer satisfaction.
· Assist in the monitoring and reporting of quality KPIs, including on-time delivery performance, error rates, customer complaints, and corrective action effectiveness.·
Travel
· Represent the company during visits to customers, suppliers, partner offices, and industry forums.
· Support cross-border collaboration and the implementation of operational, quality, and sustainability initiatives across the European network.
· Willingness and ability to undertake occasional overseas travel within Europe and other regions as required by business needs.
· Travel may include visits to carriers, partner offices, customers, industry events, training courses, audits, and operational review meetings.
· Possession of a valid passport and ability to travel internationally when required.
· Flexibility to travel at short notice in support of operational, customer, or business development requirements.
Dangerous Goods
- Understanding the responsibility of different parties in the Supply Chain, liability, and risk management
- Understanding requirements of marking dangerous goods, labelling, plates, and placarding.
- Ability to locate and identify the correct hazardous details from the dangerous goods list when provided with a UN number.
- Understanding of the specific documents required for a hazardous shipment for all Modes of transport.
- Hazardous goods are immediately identified and shipped appropriately, ensuring the health and safety of all stakeholders involved in the end-to-end shipping process.
Knowledge & Other Skills:
- Proven experience in Sales, Marketing, or Customer Service role.
- Previous experience using in freight/transport industry.
- Excellent attention to detail.
- Computer-competent with a working knowledge of Microsoft Office and WMS.
- Customs knowledge and experience.
- Strong organisational skills and coordination abilities
- Excellent communication and interpersonal skills
- Keen on working in a fast-paced environment
- Third-level qualification in business development, business management, business administration, logistics, transportation, or related field.
