As our business continues to grow, we are seeking a Project Support Coordinator to join our team and provide vital administrative, operational and project support across multiple contracts.
This is a varied and fast-paced role suited to someone who enjoys working with project teams, solving problems and ensuring that project documentation, logistics and administration are completed to a high standard.
The Role
The Project & Office Coordinator will support the successful delivery of projects by managing documentation, preparing reports, coordinating logistics and assisting with commercial and operational activities.
The successful candidate will work closely with project managers, site supervisors and senior management to ensure projects are well organised, properly documented and professionally presented to clients.
Key Responsibilities
Project Documentation & Reporting
- Prepare professional client reports from site notes, supervisor records and project information.
- Compile daily, weekly and monthly project reports.
- Maintain project files and document control systems.
- Prepare document submissions for clients and project stakeholders.
- Track project documentation requirements and deadlines.
- Assist with the preparation of project completion packs.
- Maintain accurate project records and filing systems.
Operational Support
- Coordinate travel and accommodation bookings for site personnel.
- Arrange mobilisation and demobilisation logistics for projects.
- Maintain training, certification and competency records.
- Assist with workforce planning and project administration.
Commercial & Tender Support
- Assist with preparation of estimates and pricing schedules.
- Support tender submissions and prequalification questionnaires.
- Maintain supplier databases and procurement records.
- Assist management with project cost tracking and reporting.
Administration
- Manage project correspondence and communications.
- Prepare meeting agendas, minutes and action trackers.
- Maintain company databases and management systems.
- Support general office administration activities.
- Assist management team with ad-hoc business requirements.
Skills & Experience
- Minimum 3 years' experience in an administrative, project support or coordination role.
Desirable
- Experience within construction, civil engineering, utilities, marine, infrastructure or engineering sectors.
- Experience producing project documentation and client reports.
- Familiarity with tender submissions and procurement processes.
- Experience using SharePoint, Teams or document management systems.
- Understanding of project costing, quotations and commercial administration.

Pay: €28,000.00-€45,000.00 per year
