Letterkenny Medics is seeking an experienced and highly organised Practice Manager to oversee the day-to-day management of our private medical and aesthetic clinics in Letterkenny and Donegal Town.

Letterkenny Medics provides accessible private healthcare across two modern clinics in County Donegal. Our services include general practitioner consultations, urgent care, minor injury treatment, minor surgery, health screening, cardiac services, travel vaccinations, IV therapy, sexual health services and medical aesthetics.

The Role
The Practice Manager will have overall responsibility for the effective operation of both clinics. This is a hands-on leadership position requiring the ability to manage staff, administration, patient services, complaints, compliance and clinical operations.
The successful candidate will work closely with the Clinical Director, doctors and wider clinic team to maintain high standards of patient care, safety and service delivery.
Clinical decisions and treatments will remain the responsibility of appropriately registered healthcare professionals.
Key Responsibilities
- Manage the daily operation of the Letterkenny and Donegal Town clinics.
- Lead, support and coordinate administrative, reception and clinical support staff.
- Prepare staff rotas and ensure appropriate clinic coverage.
- Oversee patient appointments, reception services, telephone enquiries and patient communications.
- Manage patient concerns and complaints professionally, confidentially and promptly.
- Maintain a clear complaints, investigation, escalation and follow-up process.
- Support clinical governance, patient safety, incident reporting and quality-improvement activities.
- Ensure clinic policies, procedures and standard operating procedures are maintained and followed.
- Support doctors and clinical staff with the organisation of clinics, referrals, results, prescriptions and follow-up systems.
- Monitor the safe and efficient management of patient records and confidential information.
- Ensure compliance with GDPR, the Irish Data Protection Act 2018 and professional confidentiality requirements.
- Maintain awareness of relevant HSE guidance, Irish healthcare regulations and accepted standards of clinical practice.
- Coordinate stock control, medical supplies, equipment servicing and relationships with external suppliers.
- Assist with staff recruitment, induction, training and performance management.
- Monitor service quality, patient experience and operational performance across both clinics.
- Support financial administration, invoicing, payments and general business operations.
- Identify operational problems and implement practical solutions.
- Provide regular updates to the clinic directors.
Essential Requirements
The successful candidate should have:
- Previous experience managing a GP practice, private clinic, healthcare service or similar small business.
- A strong understanding of the Irish healthcare system.
- Knowledge of relevant HSE policies, guidance and healthcare procedures.
- Knowledge of GDPR, patient confidentiality and healthcare-record management.
- Experience dealing with patient complaints and sensitive situations.
- Strong leadership, communication and organisational skills.
- The ability to manage several responsibilities across two clinic locations.
- Good computer skills and experience using appointment, practice-management or electronic patient-record systems.
- The ability to work independently, make sound operational decisions and maintain strict confidentiality.
- A professional, calm and patient-focused approach.
Desirable Experience
The following would be an advantage:
- Previous clinical experience or a recognised healthcare qualification.
- A qualification in healthcare management, business management, nursing, medical administration or a related area.
- Experience working in a small GP practice, urgent-care clinic or private medical clinic.
- Experience in clinical governance, risk management, audits or quality improvement.
- Knowledge of medical terminology and clinical workflows.
- Awareness of HIPAA standards, particularly when dealing with international patients or organisations.
Working Arrangements
This position may be offered on a full-time or part-time basis, depending on the experience and availability of the successful applicant.
The role will involve responsibility for both the Letterkenny and Donegal Town clinics. Flexibility to work across both locations will be required.
