About the Role
Reporting to the Operations Manager, the Operations Specialist provides support to a busy operations team, carrying out a range of operational and administrative activities while providing an excellent customer experience. The successful candidate will be a highly driven and ambitious individual with a results-focused approach to their work and relevant experience in a busy operations/transport environment.
Contract Type: Permanent (6-month probationary period).
Working Hours: 8.30am to 5.30pm, Monday to Friday (option of hybrid working post probation).
Location: Blakes Cross, Lusk, Co. Dublin
Key Duties of the Role
- Complete day-to-day processing of import manifests and bookings.
- Responding to customer queries and requests in a timely manner while providing the highest standards of customer service.
- Deliver day-to-day operational requirements to meet customer needs in a cost-effective and efficient manner.
- Manage customer accounts.
- Communicating with third party agents and suppliers.
- Manage files and ensure billing and costing are processed accurately.
- Communicating directly with customers to keep them informed on order progress.
- Liaise with internal departments and external partners to resolve discrepancies.
- Complete administrative tasks, including investigating, sourcing, processing, and reporting in an accurate and timely manner.
- Resolve service-related issues and queries efficiently while proactively identifying solutions.
- Support continuous improvement initiatives and cross-functional projects.
- Provide operational support on project-based activities as required.
- Adhere to all Standard Operating Procedures (SOPs), company processes, policies and procedures.
- Promote a supportive and collaborative work environment.
Essential Requirements
- Previous experience working within a busy operations/transport team, essential.
- Previous experience in account management.
- Strong analytical, problem-solving and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office and strong reporting skills.
- Strong attention to detail.
- Ability to adhere to strict deadlines and work on own initiative.
- Customer-focused with a proven track record of meeting and exceeding customer expectations.
- Self-motivated and driven to achieve set targets.
- Positive “can-do” attitude.
