Overview of role:
The Fleet Co-ordinator is responsible for the safe and efficient operation of Gaeltec’s fleet of commercial vehicles. This person will manage the maintenance of the fleet, including overseeing the selection, acquisition, and management of vehicles, and the day-to-day management of vendors. The Fleet Co-ordinator will also be responsible for ensuring regulatory compliance and safe operation of the fleet.
Key Responsibilities:
- Responsible for the full life cycle of Gaeltec’s fleet of commercial vehicles and commercial equipment, including fuel cards.
- Oversee the procurement, administration, and maintenance of the company vehicle fleet, ensuring compliance with all statutory and operational requirements, including CVRT testing, road tax, GA1 documentation, and any other vehicle-related records.
- Manage the maintenance of vendors to ensure the most cost-effective and efficient services.
- Ensure regulatory compliance of the fleet including vehicle safety checks, adherence to working time directives for employees, ensuring proper use of fuel cards/vouchers.
- Ensure correct administrative recording of vehicle maintenance, driver schedules, vehicle logs, accidents, drivers’ driving patterns and fuel expenses.
- Develop and implement strategies to reduce costs associated with fuel and maintenance of the fleet.
- Train and develop team members regarding performance, vehicle compliance, rules and regulations.
- Track vehicle performance and utilization to analyse data to identify areas for improvement and cost efficiency.
- Provide weekly reports to Project Managers, act, investigate and provide documentation when identifying areas/errors with tracking vehicles and fuel cards.
- Develop, create and implement policies and procedures to optimise the performance of your department.
- Manage the financial budget for the operational fleet in order to reduce waste and ensure cost efficiency.
- Keep abreast of industry trends and developments.
Key Skills and Experience
- Minimum three years’ experience in a similar fleet role.
- Experience ensuring fleet compliance with transport and health and safety.
- Excellent organisational skills, problem-solving, and interpersonal skills.
- Proven track record of improving existing systems to address efficiency, cost and profitability.
- Ability to effectively manage leased or rented vehicles as well as those owned by the company.
- Proficiency in Microsoft Office programs and database management.
- A motivating attitude, with a desire to create and implement systems and processes that will improve the current operation.
- Commitment to cost management, streamlining costs, and ensuring compliance.
- Full Driving Licence.
