Key Responsibilities of the Role:
- MD Executive Support & Calendar Management – scheduling internal & external meetings, including scheduling high-level meetings, prioritising time-sensitive requests, and resolving conflicts.
- MD Mailbox Management – monitoring & flagging key items.
- Meeting & Event Coordination – Organising logistics for quarterly/offsite leadership sessions, sending agendas, taking minutes, and following up on actions.
- Meeting Prep - preparing and issuing power point presentations.
- Expense Management – Alignment of concur expenses for MD, Ops Director, Commercial Director, submitting cash expenses and reconciling credit card statements.
- Travel Management - organise the travel logistics from start to finish – arranging flights, accommodation and other means of transport (car park bookings, car transfers etc).
- Coordinate cross-functional point of contact support between DCBS and other departments such as HR, Legal, Finance, and IT.
- Manage internal and external DCBS events, recognition or awards of key staff, and onboarding experiences to help promote a positive BU culture.
- Work with site admins to encourage and promote monthly social activities across DCBS projects.
- Support the project teams by facilitating document approvals from HQ (e.g., apartment leases, legal signatories).
- Support cross-functional project initiatives such as seasonal gifting (e.g., Christmas wine and hampers), compiling attendee lists, and gathering data to aid project execution.
- General Admin Support for DCBS Team (ie preparing excel/PowerPoint/word documents as required, control information flow to and from project teams, Ordering stationery and other office supplies, Managing desk allocation across multiple projects for DCBS).
- Assist with ad hoc administrative duties as they arise
- Maintain and regularly update Management holiday trackers to ensure accurate visibility across teams.
Essential Criteria for the Role:
- Proven experience as an administrative assistant supporting senior management in a busy office environment for 5+ years.
- Must have experience in organising or coordinating both small and large scale company events.
- Excellent working knowledge of the Microsoft Office suite – Outlook, Excel, Word, PowerPoint, OneNote, SharePoint.
- Excellent verbal, written and interpersonal communication skills.
- Excellent organizational, multi-tasking skills and dedicated to completing projects in a timely manner.
- The confidence to effectively and professionally respond to all enquiries to the Senior Leadership team.
- The ability to work on your own initiative and be an integral part of a busy team.
- Ability to effectively manage time, prioritize tasks and work within deadlines with little supervision.
- Ability to take initiative and exercise good judgment, discretion and confidentiality in all tasks.
- Ability to work in a fast-paced environment.
