- Answering phone calls, dealing with customer query, transferring to relevant staff member, logging messages and replying to emails as well as undertaking other reception duties such as greeting clients.
- Using a range of office software, including outlook, word documents, Excel spreadsheets, and Sage Accounts Production.
- Payment of supplier invoices once approved by senior management.
- Assist with scheduling appointments and coordinating meetings.
- Assist in fire alarm testing co-ordination.
- Assist in access control card management.
- Maintain organised and accurate filing systems.
- Handle incoming and outgoing mail and manage a busy email system.
- Management of Petty Cash.
- Manage office supplies inventory and place orders as needed.
ESSENTIAL REQUIREMENTS:
- Excellent written and spoken command of the English language.
- Previous experience in an administrative role.
- Excellent communication and interpersonal skills.
- High level of IT literacy- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience in Sage Accounts Production would be beneficial but training can be provided.
- Strong organisational skills and attention to detail.
- Ability to work under pressure and meet a range of deadlines.
- Ability to prioritise tasks and manage time efficiently.
- Be able to work well under pressure with a positive attitude.
- Resident in Ireland or willing to relocate with a valid work permit.
- Be able to work as part of a team with the ability to work independently using your own initiative when appropriate.
