Spa Receptionist

The Spa Receptionist position (“SR”) at Hogs Head Golf Club (“HHGC”) is a wonderful opportunity to join one of the top private, resort golf clubs in the world. The (“SR”) position will work closely with the Spa Manager and Front Office. Their role is to support the operation of the property whenever required. The (“SR”) will report directly to the Spa Manager and General Manager of Hogs Head Golf Club. The (“SR”) MUST possess the service gene and DNA with sincere and genuine desire to provide the ultimate experience for all HHGC Members and Guests.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Performs other duties as assigned by management.
· Greet clients warmly and professionally upon arrival and departure.
· Schedule, confirm, reschedule, and cancel spa appointments using the booking system.
· Answer incoming phone calls, emails, and client inquiries in a courteous and timely manner.
· Provide information about spa services, thermal suites, treatments and pricing.
· Process client check-ins and check-outs efficiently.
· Handle payment transactions accurately.
· Maintain client records and ensure confidentiality of personal information.
· Promote and recommend spa services and retail products.
· Coordinate with therapists and other spa staff to ensure smooth daily operations.
· Monitor appointment schedules and maximize booking efficiency.
· Resolve client concerns, complaints, or service issues professionally and escalate when necessary.
· Maintain a clean, organized, and welcoming reception and waiting area.
· Manage inventory of retail products and reception supplies; notify management of replenishment needs.
· Prepare daily reports, reconcile transactions, and assist with administrative tasks as assigned.
· Ensure compliance with company policies, health and safety standards, and spa procedures.
· Carryout opening and closing duties.
· Check locker rooms, thermal suites and gym area to ensure they are tidy at all times.
· Foster a positive guest experience to encourage repeat visits and customer satisfaction.
· Assist with cleaning of spa areas.
QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:
- Previous experience in a 5-star Hotel environment is preferable but not a requirement.
- Previous experience in a reception role desirable.
- Must possess excellent guest service skills.
- Attention to detail.
- Highly organised.
- Must have fluent English both oral and written.
- Ability to work in a team environment.

- Excellent communication skills, verbal and written.
- Have a positive attitude and excellent interpersonal skills.
- Highly organised and possess problem-solving skills.
- Ability to work effectively with and present information to other department heads, staff and vendors.

PHYSICAL DEMANDS:
- Must frequently lift and/or move up to 50 pounds.
- Specific vision abilities required by this job include close vision, distance vision, colour vision, peripheral vision, and depth perception.
- Occasionally required to walk or move to various locations within the property; climb or balance; stoop, kneel, crouch, or crawl; and taste or smell.
- A noise level in the work environment is usually quiet.
- Schedule must be flexible to include weekends and holidays.
