We are currently recruiting for a Full-Time Junior Administrator for Beaumont Lodge Transitional Unit, Kilmore Road, Dublin 5
Hours: 37.5 hours per week
Purpose of the Role:
To effectively provide administrative support to the Unit & Head Office and enhance the smooth effective operation of the home from an administrative perspective.
Responsibilities and duties will include but are not limited to:
Administrative Responsibilities
- Maintaining personnel files as directed by the administrator and home manager; checking references are on file, Garda Vetting etc.
- Maintain Employee Work Permit Folder. Ensure all staff details are on Healthcare system. This includes photos and all details being correct and up to date.
- Take resident and staff photos and put them on healthcare system
- Scanning Resident and Staff files to Healthcare System.
- Rosters; organising cover for sickness/emergencies. This involves calling and ringing around for the home manager to source a replacement.
- Training Tracker; updating this information on the master sheet and/or Healthcare System
Occupancy & Marketing
- To answer Enquiries
- To Assist with Visitor tours
- To assist the home manager by arranging teas and coffee
- Maintain Chiropody cards and updating Healthcare System
- Resident Surveys, checking all received, sorting and leaving ready for the administrator to send to the support office.
- Archiving of resident files.
- To assist with general administrative duties as requested by the home manager or senior administrator.
- Scanning any forms to the HSE as directed by the administrator and home manager
- Booking Taxis for residents and staff when required
- Organising Blood samples to be sent to the hospitals as directed.
- Use the paging system as appropriate
- To carry out typing duties as requested by the manager or senior administrator
- To monitor incoming faxes and to distribute them as appropriate to the relevant staff
- To distribute post and afternoon newspapers when required
- To monitor the external CCTV cameras and ensure they are working correctly, especially before going off duty. To re-set them as instructed if necessary. If they fail to re-set to inform the Staff Nurse on duty.
- To assist the staff nurse(s) in the event of any problem with the building e.g. alarms sounding or power failure or other such situations.
Qualifications:
- QQI Level 5/Diploma in Administration or relevant discipline
- Associate or bachelor's degree in communications or business.

- Prior experience with Microsoft Office and typing.

- Excellent written /numerical/analytical skills
