Assistant Clinic Manager – Ophthalmology
Role Overview
We are seeking an experienced and organised Assistant Clinic Manager to support the day-to-day management and clinical operations of a busy ophthalmology clinic.
The successful candidate will have previous experience working in an ophthalmology, optometry or eye-care environment, with a good practical understanding of ophthalmic diagnostics and patient pathways. Importantly, candidates should have hands-on experience using ophthalmic diagnostic equipment, including OCT and other commonly used imaging and diagnostic technologies.
The role will combine clinical support, patient management, staff coordination, equipment oversight and administrative responsibilities, working closely with ophthalmologists, optometrists, nurses, healthcare assistants and administrative staff.
Key ResponsibilitiesClinic Operations
- Assist the Clinic Manager with the efficient day-to-day running of the clinic.
- Coordinate patient flow and ensure clinics run efficiently and on schedule.
- Support the management of appointments, referrals, diagnostics, procedures and follow-up care.
- Help identify and resolve operational issues as they arise.
- Ensure clinic rooms and diagnostic areas are appropriately prepared and maintained.
- Support the implementation and monitoring of clinic policies and procedures.
- Assist with maintaining appropriate staffing levels and allocating staff according to clinic requirements.
Ophthalmic Diagnostics & Equipment
The successful candidate will be expected to have practical experience operating ophthalmic diagnostic equipment.
This should include experience with equipment such as:
- OCT
- Visual field
- Optical biometry
- Other ophthalmic diagnostic and imaging equipment used within the clinic
Responsibilities will include:
- Performing or supporting diagnostic tests within the candidate's scope of practice and training.
- Ensuring diagnostic equipment is correctly prepared and used.
- Maintaining appropriate equipment records and quality-control procedures.
- Identifying equipment faults and escalating issues appropriately.
- Supporting staff training and competency in the use of relevant equipment.
- Ensuring diagnostic images and test results are correctly recorded and associated with the appropriate patient.
- Maintaining high standards of patient safety, data accuracy and confidentiality.
Staff Support & Supervision
- Assist with the supervision and coordination of clinical and administrative staff.
- Support the induction and training of new employees.
- Help monitor staff performance, attendance and adherence to clinic procedures.
- Act as a senior point of contact for staff during clinics.
- Promote effective communication and teamwork across clinical and administrative teams.
- Assist with resolving day-to-day staff and operational issues.
Patient Care & Experience
- Ensure patients receive a professional, efficient and compassionate service.
- Assist with managing patient queries and concerns.
- Support effective communication between patients, clinicians and administrative staff.
- Ensure patients are appropriately prepared for diagnostic investigations and clinical appointments.
- Escalate clinical or patient-safety concerns to the appropriate clinician or manager.
- Maintain a strong focus on patient confidentiality, dignity and safety.
Quality, Governance & Compliance
- Assist with maintaining clinical governance and quality standards within the clinic.
- Ensure procedures are followed in accordance with relevant legislation, professional standards and clinic policies.
- Assist with incident reporting, audits and quality-improvement initiatives.
- Support infection prevention and control procedures.
- Ensure patient records and diagnostic information are accurate and appropriately maintained.
- Assist with maintaining appropriate health and safety standards.
Administration & Performance
- Assist the Clinic Manager with monitoring clinic activity and performance.
- Support reporting on patient volumes, waiting times, clinic utilisation and operational performance.
- Assist with stock control and ordering of clinical and office supplies.
- Help monitor equipment servicing and maintenance schedules.
- Assist with managing suppliers and external service providers where required.
- Contribute to improving clinic processes and efficiency.
Essential Requirements
The successful candidate will have:
- Previous experience working in an ophthalmology, optometry or eye-care clinic.
- Good understanding of ophthalmic diagnostic pathways and terminology.
- Experience working directly with patients in a clinical environment.
- Previous supervisory, team-lead or management experience.
- Strong organisational and time-management skills.
- Excellent communication and interpersonal skills.
- Ability to work effectively with ophthalmologists, optometrists, nurses and administrative teams.
- High attention to detail and commitment to patient safety.
- Ability to work independently while also contributing effectively to a multidisciplinary team.
- Good IT skills and experience using electronic patient management/medical record systems.
Desirable Experience
The following would be advantageous:
- Experience in a busy private ophthalmology or public ophthalmology service.
- Experience supervising or training clinical staff.
- Experience with clinic scheduling and patient-flow management.
- Experience with clinical audits and quality-improvement projects.
- Relevant ophthalmic, optometry, nursing or healthcare qualification.

Pay: €40,000.00-€42,500.00 per year
