iDrive Chauffeurs is a premium ground transportation company providing executive and VIP transport services throughout Ireland.
We are looking for an experienced, reliable and highly organised Part-Time Operations & Administration Coordinator to support our Operations Director and assist with the day-to-day running of a busy transport operation.
This is a home-based position, and we are ideally looking for someone based in Cork city or the surrounding area.
This is not a standard Monday-to-Friday, 09:00 to 17:00 role. The position will provide important operational and administrative cover at weekends, together with approximately one or two weekdays as part of a rota. Flexibility around working hours is therefore essential.
The successful candidate must have previous professional experience in dispatch, logistics, transport operations or a closely related coordination role. This experience is important, as the position involves supporting live operations, coordinating drivers and bookings, responding to changes and ensuring services are delivered correctly.
The role would suit someone who is comfortable taking responsibility, working independently from home and managing several tasks at the same time while maintaining a very high level of accuracy and professionalism.
Key Responsibilities
The role will involve supporting the Operations Director with the administration and coordination of daily bookings and services, including:
- Monitoring and managing the company operations email inbox during assigned working hours.
- Responding professionally and promptly to client, travel partner, hotel, supplier and driver communications.
- Processing new transport enquiries and preparing booking or quotation information in accordance with company procedures.
- Reviewing booking information to ensure passenger names, contact details, dates, times, locations, flight information, vehicle requirements and other instructions are recorded accurately.
- Supporting the dispatch and coordination of upcoming and live transport services.
- Liaising with drivers regarding assignments, passenger information, pickup instructions and operational updates.
- Monitoring live operations and responding appropriately to schedule changes, delays and other operational developments.
- Monitoring changes to bookings and communicating relevant information to the appropriate people.
- Assisting with airport and flight-related bookings and dealing with schedule changes where required.
- Keeping booking and operational systems accurate and up to date.
- Identifying missing or conflicting information and following up before it becomes an operational issue.
- Escalating important operational issues or unusual client requests to the Operations Director or management when necessary.
- Providing general administrative support to the Operations Director and wider business.
- Maintaining confidentiality when dealing with VIP passengers, corporate clients and commercially sensitive information.
Essential Requirements
Applicants must have:
- Previous professional experience in dispatch, logistics, transport operations or a similar operational coordination environment.
- Excellent written and spoken English, with the ability to prepare accurate and professional client-facing emails and communications without supervision.
- Strong administrative and organisational skills.
- Excellent attention to detail and the ability to identify errors or inconsistencies.
- Experience managing multiple tasks and priorities in a time-sensitive environment.
- Confidence using email, online systems, spreadsheets and other business software.
- The ability to work independently from home and take responsibility for work during assigned shifts.
- A calm and methodical approach when schedules or requirements change at short notice.
- The confidence to communicate professionally with clients, drivers and suppliers.
- The judgement to resolve routine operational matters while recognising when an issue needs to be escalated.
- Regular weekend availability and flexibility regarding working hours.
Preferred Experience
Experience within one or more of the following sectors would be particularly relevant:
- Passenger transport
- Chauffeur or private hire operations
- Taxi or coach dispatch
- Logistics
- Fleet operations
- Travel
- Aviation
- Hospitality
- Events
- Other time-critical service or dispatch environments
Experience working with booking, scheduling, dispatch or fleet-management software would also be beneficial.
Working Arrangements
This is a part-time position of approximately 20 hours per week.
The role will be carried out primarily from home, although the successful candidate should be based in Cork city or the surrounding area.
Regular weekend availability is an essential part of the position, together with approximately one or two weekdays depending on the rota and operational requirements.
Because iDrive operates around passenger travel schedules, working hours will not always follow conventional office hours. Applicants should therefore only apply if they are comfortable with a flexible working pattern and regular weekend responsibility.
