The Role.
GMC Utilities Group Ltd. are seeking a Recruitment Coordinator to join our growing HR and Recruitment team. This role will provide essential coordination and administrative support across the recruitment process, ensuring vacancies are managed efficiently and candidates receive a professional and positive experience from initial application through to onboarding.
The successful candidate will work closely with the Recruiter, HR team and hiring managers to coordinate recruitment activity across the business. You will be responsible for keeping recruitment processes organised, maintaining accurate records, coordinating interviews and supporting the smooth progression of candidates through each stage of the recruitment journey.
This is an office-based position and would suit an organised, detail-focused individual who enjoys working with people and is interested in developing their career within recruitment and HR.
Key Duties and Responsibilities will include but are not limited to:
Key Responsibilities:
Provide day-to-day administrative and coordination support to the Recruitment team.
Coordinate recruitment activity across multiple vacancies and departments.
Liaise with hiring managers to arrange interviews, gather feedback and provide recruitment updates.
Coordinate interview schedules between candidates, hiring managers and other stakeholders.
Communicate with candidates throughout the recruitment process, providing updates and ensuring a positive candidate experience.
Manage interview invitations, confirmations, rescheduling and follow-up communications.
Maintain accurate and up-to-date candidate information within the Applicant Tracking System.
Assist with the preparation and posting of job advertisements across relevant recruitment platforms.
Monitor applications and ensure candidates are progressed through the recruitment process in a timely manner.
Assist the Recruiter with candidate screening, reference checks and pre-employment documentation.
Liaise with external recruitment agencies regarding candidate submissions, interview arrangements and feedback.
Maintain accurate recruitment reports, trackers and records.
Assist with preparing offer documentation and coordinating the pre-employment process.
Support the onboarding process by ensuring all required documentation is received and completed.
Assist with recruitment campaigns, careers events and employer branding initiatives.
Maintain confidentiality and handle candidate and employee information appropriately.
Ensure recruitment administration is completed in line with GMC Utilities Group policies and Irish employment legislation.
Support the wider HR team with general administrative duties and projects as required.
The Candidate: Required Experience and Competencies:
Previous experience in a Recruitment Coordinator, Recruitment Administrator, or similar recruitment-focused role.
Experience within the construction, civil engineering or utilities sector in Ireland is essential.
Strong organisational skills with excellent attention to detail.
Ability to manage multiple vacancies, deadlines and priorities simultaneously.
Excellent written and verbal communication skills.
Professional and confident telephone manner.
Strong interpersonal skills with the ability to build positive relationships with candidates, hiring managers and external agencies.
Experience using Applicant Tracking Systems (ATS) preferably Bullhorn.
Good working knowledge of Microsoft Office, particularly Outlook, Word and Excel.
Ability to maintain accurate records and handle confidential information appropriately.
Proactive approach with the ability to work independently while also contributing effectively to a team.
Strong time-management skills and the ability to work in a fast-paced environment.
Positive, professional and approachable attitude.
Full driving licence.
