The Role
The Clinic Coordinator is the engine room of the clinic. You’ll be the first point of contact for clients, the right hand to the clinic owner, and the person who keeps the day moving — from the moment the doors open to the moment they close. This role blends front-of-house excellence with genuine operational responsibility, so you’ll need to be equally comfortable on the phone with a client and behind the scenes managing rosters and reports.
Key Responsibilities
Front Desk & Client Experience
- Warmly welcome every client and manage a busy, fast-turnover reception
- Manage the appointment diary, bookings, and rescheduling across multiple treatment rooms and therapists
- Handle client queries, consultations bookings, and treatment pathway questions with confidence
- Process payments, deposits, packages, and course bookings accurately
- Manage waitlists and cancellations to keep the schedule full and efficient
- Respond to phone, email, and online enquiries promptly and professionally
- Handle client concerns or complaints calmly and escalate appropriately
Floor Management
- Oversee the day-to-day flow of the clinic floor, ensuring therapists are on schedule and rooms are turned over efficiently
- Act as the go-to person for therapists during the day for scheduling questions, client handovers, and daily troubleshooting
- Monitor treatment room readiness, stock levels at point of use, and general presentation of the clinic
- Keep the day running to time, proactively managing delays or gaps in the schedule
- Support smooth client journeys from consultation through to treatment and aftercare
Administration & Reporting
- Manage staff rosters, holiday requests, and hours tracking across the team
- Maintain accurate client records, consultation forms, and consent documentation
- Support with ordering and stock management for retail and consumables
- Assist with basic reporting (bookings, revenue, no-shows, retail sales) for the clinic owner
- Maintain GDPR-compliant client data handling across all systems
- Support onboarding admin for new clients and new team members
- Keep clinic policies, procedures, and documentation up to date and accessible
Team Support
- Act as a central point of communication between therapists and management
- Help coordinate team meetings, training sessions, and internal communications
- Foster a positive, professional, and organised working environment on the floor
What We’re Looking For
- Previous experience in a busy clinic, salon, or medical aesthetics front desk role (essential)
- Strong administrative skills — comfortable with rosters, spreadsheets, and booking systems
- Excellent communication skills, both with clients and team members
- Calm, capable, and solutions-focused under pressure
- Highly organised with strong attention to detail
- A natural multi-tasker who can manage competing priorities without dropping the ball
- Confident using clinic software/booking systems (training provided on our specific system)
- A genuine interest in skincare, laser treatments, and the client journey
- Discretion and professionalism when handling sensitive client information
- Flexibility to work across our operating hours.
What’s Nice to Have
- Experience in a laser or medical aesthetics clinic specifically
- Experience managing staff rosters or leading a front-of-house team
- Familiarity with treatment consultation processes for laser hair removal, skin treatments, or injectables support
