We're looking for a highly organised and motivated Property Portfolio Executive to join our team and help us to continue our expansion nationally. This is a varied role for someone who is highly motivated, excels at administration, maintaining high standards, coordinating multiple priorities, and providing excellent customer service.
The Role
As Property Portfolio Executive, you will provide administrative support across all aspects of the business, with a particular focus on onboarding new properties, quality assurance, property assessments, CRM administration, and guest experience.
The role includes regular travel between our managed properties to carry out inspections, quality checks, and onboarding visits. Business mileage will be reimbursed in line with the company's mileage policy.
Working closely with the Operations, Reservations, and Marketing teams, you will play a key role in maintaining the quality and operational readiness of our holiday rental portfolio. You will support the onboarding of new properties, coordinate property assessments, maintain accurate CRM and property management records, support positive guest experience, and ensure operational processes are completed efficiently.
Key Responsibilities
Property Onboarding
- Coordinate the onboarding of new holiday rental properties.
- Prepare property records, inventories, operating procedures, and compliance documentation.
- Assist with organising photography, videography, key management, supplier setup, and property launches.
- Ensure all properties are operationally ready before accepting bookings.
Quality Assurance & Property Assessments
- Carry out scheduled quality assessments and inspections across our portfolio of holiday properties.
- Record assessment findings and maintain accurate quality reports.
- Review and respond to guest reviews.
- Identify maintenance, housekeeping, inventory, or presentation issues and coordinate follow-up actions.
Guest Experience
- Be the point of contact for, and coordinate with property managers, to ensure any guest issues are quickly resolved.
- Work closely with Reservations Department to handle escalations, complaints and any potential relocations.
CRM & Administration
- Maintain accurate customer, owner, and property records and operational documentation within the CRM and property management systems.
- Support reporting, document management, and general administrative processes.
- Help monitor operational workflows and ensure tasks are completed on time.
- Assist with general office and projects administration.

Essential Skills & Experience
- Previous experience in an administrative, operations, hospitality, or property-related role.
- Excellent organisational skills with strong attention to detail.
- Confident using CRM systems and Microsoft Office, particularly Outlook, Word, and Excel.
- Excellent written and verbal communication skills.
- Ability to prioritise tasks and manage multiple deadlines.
- A proactive, positive attitude with strong problem-solving skills.
- Professional, friendly, and customer focused.
- Full driving licence (use of own car is required)
Desirable
- Experience in holiday rentals, serviced accommodation, hospitality, or property management.
- Experience carrying out inspections or quality assurance checks.
- Familiarity with property management systems and marketing channel platforms.
- Understanding of property maintenance, compliance, and contractor coordination.
