The Site Services Coordinator will be responsible for the planning, coordination, and administration of site-based electrical installation and commissioning projects. Acting as a central point of communication between clients, Field Service Engineers (FSE’s), and internal departments, the role ensures efficient scheduling, safety compliance, and accurate project tracking using tools such as the project Planner, EDESK and Fentu.
Reporting to the Site Services Manager you will work closely with the Site Services Administrator and Field Service Engineers.
The Role
This is a detail-oriented role which requires a proactive approach to problem-solving. You will be capable of working independently and managing multiple projects under time constraints. You will be a team player displaying strong interpersonal skills with a customer-focused mindset and a commitment to service excellence.
Key Responsibilities:
- Project Coordination:
- Coordinate and schedule Field Service Engineers (FSEs) for site visits related to electrical installation, commissioning activities and site queries.
- Upload and maintain project schedules using the company’s project planner system.
- Ensure all required documentation, including RAMS (Risk Assessments and Method Statements), is prepared and sent to clients and FSEs in advance.
- Client & Engineer Communication:
- Act as the primary liaison between clients and FSEs, ensuring clear and timely communication of project requirements, timelines, and updates.
- Address and resolve any scheduling conflicts or on-site issues as they arise.
- Documentation & Compliance:
- Upload all relevant data, documentation, and service records to EDESK and or SharePoint to ensure accurate tracking and compliance.
- Ensure all site works adhere to safety and regulatory requirements.
- Reporting & Administration:
- Maintain detailed records of engineer deployment, site activities, and project progress.
- Provide regular updates to the Site Services Manager and other stakeholders on project status and resource utilization.
- Accommodation, Travel and Transport
- Book accommodation, travel and transport for FSEs as the need arises
- Prepare any additional documentation and requirements Country specific such as IDO6 – Sweden, Medicals and Training – Spain
Duties
- Set up Operations and Maintenance (O&M) Manuals
- Ensure that Amazons L3 commissioning report completed by FSEs on site is uploaded to SharePoint
- Liaise with Accounts each week on works completed and Invoicing
- Provide the Quality Department with monthly reports on AWS Commissioning
- Liaise with Payroll on FSE’s holiday and payroll queries
Pay: €36,000.00-€40,000.00 per year
