The Opportunity An exciting opportunity to join our Workplace team, responsible for delivering a high quality workplace environment and services for EirGrid staff. This role plays a key part in coordinating workplace operations and managing tasks delivered both in‑house and through third‑party on site service providers.
You will be an integral member of a small team of Workplace experts, working under the leadership of the Workplace Head of Function to ensure the EirGrid workplace is professionally managed at all times and creating an environment where employees can work efficiently and enjoy their day‑to‑day experience. Please note: This role requires flexibility and the ability to work on‑site minimum four days per week with 5 days on site often required depending on tasks.
Key Responsibilities
- Oversee the day‑to‑day coordination and supervision of all aspects of workplace and facilities operations.
- Manage vendor relationships, ensuring high‑quality service delivery and performance.
- Handle purchase orders, invoicing, and budget tracking with accuracy and accountability.
- Lead seating and space planning, including utilisation metrics and reporting.
- Drive sustainability initiatives in the workplace and promote sustainability to all employees.
- Conduct engaging and informative new‑hire workplace inductions.
- Manage the full starter and leaver process, ensuring a smooth and professional employee experience.
About You
- At least 3 years’ experience coordinating or supervising workplace/facilities operations in a large workplace environment.
- Available to work on-site up to 5 days per week.
- A bachelor’s degree or qualification in Facilities or Workplace Management (distinct advantage).
- Strong experience in budget management and tracking, invoicing and purchase order management.
- Process, operational, and organisational skills with excellent attention to detail.
- Proven problem solving ability and a track record of delivering innovative solutions.
- Excellent written and verbal communication skills as well as people skills with a strong customer service mindset.
- Significant experience in workplace and facilities supervision or coordination, ideally within a large office or building environment.
- Knowledge and hands-on experience in contract management and vendor management.
- A high level of responsiveness, ownership, and a self driven, motivated approach to work.
- Excellent people skills and track record of relationship building across multiple departments and functions.
