Job Title: Planning Administrator
Reports To: Planning Manager
Job Summary: The Planning Administrator plays a key supporting role within the planning team, assisting in the coordination and administration of daily routing and scheduling activities. This role is responsible for maintaining accurate planning data, supporting real-time operations, and ensuring all systems and documentation are updated efficiently to enable smooth and timely collections and deliveries.
Key Responsibilities
Planning & Operations Support:
· Assist in the daily preparation and administration of delivery and collection schedules.
· Accurately input and update route, job, and delivery information within planning systems.
· Support planners by ensuring all required documentation and data is available and up to date.
· Monitor delivery progress and update systems with real-time information where required.
· Escalate any discrepancies, delays, or issues to the planning team promptly.
· Assist with driver paperwork, route sheets, and daily operational documentation.
System & Data Management:
· Maintain accurate and up-to-date records across all planning and transport systems.
· Ensure all delivery, collection, and route data is correctly recorded and updated.
· Update job statuses, proof of delivery (POD), and completion records in a timely manner.
· Maintain planning trackers, spreadsheets, and internal documentation.
Operational Coordination:
· Liaise with drivers, warehouse, and customer service teams to support effective communication.
· Assist with responding to delivery queries and provide accurate information when required.
· Support the planning team in tracking deliveries and collections throughout the day.
Process & Compliance:
· Follow established planning procedures and ensure all administrative tasks are completed in line with company standards.
· Support compliance with transport regulations, health and safety standards, and company procedures.
· Assist in maintaining accurate documentation for operational and audit purposes.
Team Support:
· Provide administrative support to the planning team as required.
· Assist the Assistant Planning Manager and Planning Manager with ad hoc tasks.
· Contribute to a well-organised and efficient planning environment
Data & Performance Reporting:
· Assist in the collection and maintenance of planning data for reporting purposes.
· Support the preparation of daily and weekly performance reports.
· Ensure all data recorded is accurate and readily available for analysis.
Qualifications & Experience:
· Experience in an administrative, logistics, or transport-related role desirable.
· Basic understanding of routing, scheduling, or transport operations is advantageous.
· Proficient in Microsoft Office, particularly Excel.
· Familiarity with transport planning systems is desirable but not essential.
