Role Overview
The Operations Manager is responsible for the smooth day-to-day running of the studio. This role oversees scheduling, customer experience, staff coordination, and facilities, ensuring all operations run efficiently and to a high standard. This is an in-person, hands-on role requiring strong organisation, communication, initiative, and problem-solving skills, with the ability to manage multiple priorities in a dynamic environment.
Key Responsibilities
Studio Operations
- Manage and maintain the studio schedule across classes, private sessions, and events
- Coordinate instructor and staff schedules, including class coverage and substitutions
- Oversee booking systems, ensuring accuracy and resolving scheduling issues
- Communicate schedule changes, cancellations, and updates to members
- Write and maintain operational processes and standard operating procedures
- Oversee front desk workflows and ensure tasks are completed effectively
Customer Experience
- Manage all customer communications (email, social media, and in-person)
- Manage inquiries, bookings, and general support requests
- Handle membership management, including payments, changes, and troubleshooting
- Resolve customer issues and feedback in a professional and timely manner
- Ensure a high standard of service and a welcoming studio environment
- Support community engagement and positive member relationships
- Support outreach initiatives to attract new clients, partnerships, and business opportunities
- Create and distribute the newsletter, ensuring timely and engaging communication with members
Facilities & Equipment
- Oversee studio cleanliness, organisation, and overall readiness
- Coordinate cleaning schedules and maintain supply levels
- Manage inventory of equipment, safety gear, and studio supplies
- Track equipment usage and coordinate repairs or replacements
- Ensure regular maintenance and safety checks are completed
- Liaise with external vendors or building management as needed
Staff Coordination
- Support hiring, onboarding, and training of staff
- Coordinate team schedules and ensure adequate coverage
- Maintain clear communication of procedures and expectations
- Support performance management and address any staff-related issues
- Foster a positive, professional, and inclusive team environment
Finance & Administration
- Support billing, invoicing, and payment processes
- Monitor and follow up on failed or outstanding payments
- Assist with payment and staff documentation
- Maintain accurate records and support basic financial tracking
- Support grant-related administration, including writing grant applications and letters of support where required
Events & Studio Activities
- Support the planning and coordination of workshops, events, and studio activities
- Assist with scheduling, logistics, and participant communication
- Coordinate studio rentals and external bookings
- Ensure events run smoothly from an operational perspective
Additional Responsibilities
- Provide general operational support across the business as needed, adapting to evolving studio priorities and ad hoc tasks
Key Skills & Requirements
- Minimum 1 year experience managing or supporting operations in a boutique fitness studio or similar environment
- Strong organisational and time management skills
- Excellent communication and interpersonal abilities
- Ability to multitask and manage competing priorities in a fast-paced setting
- Strong attention to detail and problem-solving skills
- Experience with scheduling or booking systems (preferred)
- Proven customer service experience
- Comfortable using digital tools and systems
- Proficiency in tools such as Canva, Google Suite, Mariana Tek (or similar booking systems), Sage (or similar accounting software), and Squarespace (or similar website builders)
Role Scope
- Part-time (25 hours/week), Monday - Friday, 12:30 PM–6:00 PM, with flexibility based on business needs
- Combination of administrative and on-site operational responsibilities
- Flexibility to support occasional evenings or weekends
- This is a one-year contract with the potential to be extended.
Job Type: Part-time
Pay: €21,000.00 per year
