Ace Autobody Ltd is Ireland’s largest and most advanced collision repair network, proudly serving motorists nationwide since 1980. With 16 strategically located branches and over 250 skilled team members, we deliver exceptional repair standards, innovative technology, and outstanding customer care.
We are now looking for an experienced Office Administrator to join our Ace Autobody Portlaoise team. This is a key front-of-house role responsible for coordinating the customer journey from the initial enquiry through to vehicle collection and aftercare.
Key Duties and Responsibilities
- Handle incoming calls, emails and walk-in enquiries in a friendly and professional manner.
- Book vehicle estimates, repair appointments, and collections while maintaining an organised appointment schedule.
- Welcome customers, complete vehicle check-in documentation and ensure all keys, authorisations and required paperwork are received.
- Monitor repair progress, follow up on approvals or delays and provide customers with regular, accurate updates.
- Support the administration of courtesy or rental vehicles, towing arrangements and customer transport where required.
- Prepare collection paperwork, invoices, payment details and vehicle handover documentation.
- Follow up after vehicle collection, record customer feedback and escalate any complaints or post-repair concerns.
Skills and Experience
- Previous experience in reception, customer service or office administration.
- Automotive, bodyshop, dealership or insurance experience is highly desirable.
- Excellent telephone manner and strong written and verbal communication skills.
- Friendly, professional and confident when dealing with customers.
- Strong organisational skills with excellent attention to detail.
- Ability to manage multiple priorities in a busy, fast-paced environment.
- Proactive approach to following up on outstanding tasks and resolving customer queries.
- Proficient in Microsoft Office, including Outlook, Word and Excel.
- Full valid driver’s license preferred.

Your success in this role will be measured by well-organised appointments, accurate records, smooth communication, timely customer updates, efficient vehicle handovers and high levels of customer satisfaction.
