We are looking for a highly organized and detail-oriented individual to join our team. This role is central to our daily operations, primarily focusing on accounts payable for our Circle K Petrol Station, while providing essential administrative support to the broader business.
Key Responsibilities
1. Accounts Payable & Financial Support
- Invoice Processing: High-volume processing of supplier invoices for our Petrol Station.
- Matching: Verifying and matching delivery dockets to invoices to ensure accuracy in goods received.
- Expense Management: Processing general business expense invoices and ensuring correct coding.
- Reconciliations: Performing regular supplier account reconciliations to ensure all balances are accurate and up to date.
2. Compliance & Reporting
- Tax Returns: Assisting with the preparation and submission of VIES and Intrastat returns.
- Operational Reporting: Generating and distributing daily/weekly reports for various internal departments.
- Payroll Support: Assisting in the collection and processing of staff timesheets for payroll entry.
3. Administrative & Store Support
- Documentation: Maintaining our filing system and following established documentation procedures to ensure audit readiness.
- Store Assistance: Providing practical support such as general labeling and price-tagging for the retail stores.
- General Office Duties: Assisting the management team with ad-hoc administrative tasks as required.
Candidate Profile
Essential Skills:
- Numerical Accuracy: A high level of precision when dealing with figures and data entry.
- Organizational Skills: The ability to manage multiple priorities and meet deadlines in a busy environment.
- Tech Savvy: Proficiency in Microsoft Excel and experience with accounting software.
- Detail Oriented: A "eagle eye" for matching dockets and spotting discrepancies.
Experience:
- Previous experience in an Accounts Assistant role is preferred, however not mandatory for the right candidate.
- Experience within the retail & fuel sector is a significant advantage.
- Familiarity with VIES/Intrastat reporting is highly desirable but training can be provided.
