We are currently seeking an experienced Receptionist / Administrator to join the team at Joule. You will play a vital role in ensuring the smooth running of our reception and providing a professional first impression for visitors. You will be responsible for managing front desk activities, handling drop-in queries, and supporting day-to-day administrative tasks. This is an excellent opportunity for someone with strong organisational and communication skills.

Key Responsibilities:
- Welcome and log in visitors for appointments, ensuring a professional first impression.
- Provide front desk services, including answering and directing phone calls, taking and distributing messages, and greeting visitors in a warm and professional manner.
- Handle incoming and outgoing post, ensuring timely distribution and action.
- Prepare meeting rooms for interviews, business meetings, training sessions.
- Manage refreshments orders for training / meetings.
- Monitor and replenish office supplies to ensure smooth daily operations.
- Maintain the upkeep and presentation of public areas.
- Ensure adherence to internal policies and confidentiality standards.
- Perform ad-hoc administrative tasks as required.
- Carry out other duties as assigned on a day-to-day basis.
Skills & Experience Required
- Positive, professional, and approachable manner with strong interpersonal skills.
- Fluent in English, both written and spoken.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and other common office applications.
- Strong customer service skills with the ability to represent the organisation professionally.
- Previous secretarial or receptionist experience is essential.
- Strong organisational and time management skills, with the ability to prioritise tasks effectively.
- Ability to work independently, using initiative to solve problems.
- High level of discretion and professionalism, maintaining confidentiality at all times.
- Minimum of 2 years’ experience in an office environment.

Hours and Salary range:
- 8am to 4pm onsite Monday to Friday
- Salary will be dependent on experience
- Range for the role €28k - €32k
Pay: €28,000.00-€32,000.00 per year
