Job Title: HR and Training Administrator

Position Overview
The HR and Training Administrator maintains and drives Penn Engineering’s administrative function within the HR department. This role will administrate payroll and manage the initial stages of the recruitment lifecycle. The role also owns the administration of training programmes, training tracking, and the learning management system, ensuring all training and compliance records meet audit and regulatory requirements while supporting the company’s continued growth. Working closely with the HR Generalist and department managers this role is an excellent opportunity for someone to get hands-on HR experience in a fast-paced manufacturing/engineering business.
Key Responsibilities
Recruitment & Onboarding
· Manage end-to-end recruitment: liaise with agencies/job boards, screen CVs, coordinate interviews, draw up offers, reference checking, and regret unsuccessful candidates
· Organise induction and coordinate start dates with hiring managers; new starter onboarding (paperwork, folders, clocking system, lockers/keys/fobs/PPE)
· Set up new employee profiles, complete leaver processes, and keep employee records up to date
· Maintain hiring metrics and prepare the weekly recruitment update for management meetings
Payroll
· Process payroll for all plant employees through Timepoint, ensuring accurate weekly exports
· Complete payroll setup for new employees and liaise with employees/supervisors/managers on payroll queries
HR Systems & Reports
· Set up Employee Profiles, holiday entitlements, and leave types.
· Coordinate shift changes and monitor clock cards for absenteeism/lateness, communicating to managers
· Prepare weekly/monthly reports: Lateness, Plant Exits & Entries, Probation, Holiday Entitlement
Training Administration
· Coordinate all administrative aspects of training programmes, including scheduling, logistics, and documentation
· Maintain accurate, audit-ready training records (attendance, certifications, completion tracking) via the LMS.
· Liaise with trainers, training providers, and external training networks to coordinate sessions
· Support audit processes by providing training documentation and facilitating information requests
General Administration
· Update noticeboards; manage general filing (certs, forms, meeting notes)
· Prepare employee letters (salary certs, employment confirmation, social welfare, visas)
· Process purchase requisitions and administer the Bike to Work Scheme
· Administer statutory leave documentation (Force Majeure, Paternity, Maternity, Carers, Parental, Parent's Leave)
Other Duties
· Facilitate return-to-work interviews and support managers with employee relations matters as required
· Support HR improvement projects and ad hoc duties as required
· Adhere to all environmental, health and safety standards and policies
Qualifications:
· Graduate/1-2 industry years’ experience
· Bachelor’s degree level 8 or higher in Business/Human Resources Management or equivalent preferred
· CIPD or equivalent qualification preferred
