The Role:
We are seeking a highly organised and proactive Personal Assistant & Office Support professional to provide dedicated support to our CEO while also contributing to the smooth day‑to‑day running of the office.
The role forms part of the wider support function, led by the Head of People. While you will report into this function, you will work in close partnership with the CEO and act as a trusted and discreet point of support. This is a varied, hands‑on role requiring strong judgement, excellent time management, and the confidence to act independently.
The successful candidate will play a key role in enabling the effectiveness of the CEO and Executive team, while also contributing to an efficient, well‑run office environment.

Main Responsibilities:
Personal Assistant to the CEO
- Proactively manage the CEO’s diary, scheduling, rescheduling, and prioritising meetings as required
- Ensure meetings are fully prepared for, including IT set‑up, conference details, meeting rooms, catering, and other facilities
- Prepare and collate documentation and briefing materials in advance of meetings
- Coordinate complex domestic and international travel, including visas and accommodation, and produce detailed itineraries
- Prepare and submit expense reports for the CEO and Executive team
- Screen and direct calls, manage correspondence, and distribute post
- Handle confidential correspondence and sensitive matters with discretion and professionalism
- Organise and maintain both electronic and hard‑copy filing systems for the CEO
- Manage information flow accurately and in a timely manner
- Liaise effectively with external stakeholders and counterparties
- Maintain and update executive memberships, subscriptions, and professional registrations
- Support ad‑hoc requests as required
Events, Travel & Promotional Activity
- Organise and coordinate corporate events, presentations, and company gifts
- Deliver end‑to‑end management of promotional and group events, including:
- Building relationships with hotels and negotiating preferred rates
- Coordinating event dates with the parent company
- Booking taxis, buses, flights, accommodation, and ancillary travel
- Preparing detailed itineraries
- Acting as a group leader during travel where required
- Coordinating group activities, dinners, and additional arrangements
Shared Support & Office Responsibilities
Working collaboratively with the wider support team, you will also:
- Act as an office support function, ensuring appropriate office supplies, supplier sourcing, and stakeholder relationships
- Format and prepare internal and external communications, including emails, memos, presentations, and reports
- Coordinate company‑wide travel, visa, and accommodation arrangements where required
- Organise documents for signature in line with internal approval processes
- Take minutes at meetings and prepare follow‑up documentation as needed
- Draft and maintain process and procedural documentation
- Be a Health & Safety Coordinator
- Support facilities and office management activities, including:
- Maintaining office, kitchen, and postage supplies
- Organising courier and messenger services
- Coordinating facilities issues and repair requests
- Liaising with building management
- Organising office catering as required
Requirements
- Minimum 2 years’ experience as a Personal Assistant, Executive Assistant, or in a similar administrative role with significant diary and travel management responsibilities
- Excellent working knowledge of Microsoft Office
- Strong organisational and time‑management skills, with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- High levels of discretion, integrity, and confidentiality
- Strong problem‑solving skills and sound judgement
- Proven reliability, professionalism, and a strong work ethic
- Knowledge of funds / investment management (funds of funds, equity, or fixed income) would be an advantage, but is not essential
