About the Role
We are seeking an organised, proactive and detail focused Project Co-ordinator to support the planning, administration and delivery of works across our projects and operations teams.
Based at our Longford HQ, you will help coordinate projects from handover through to completion. This will include preparing job packs, supporting scheduling, liaising with clients and crews, maintaining CRM records, tracking project progress, organising permits and documentation, and ensuring completed works are ready for invoicing.
This role would suit someone who is calm under pressure, enjoys keeping multiple moving parts organised, and can communicate clearly with clients, site teams, subcontractors and internal departments.
Key ResponsibilitiesProject Planning & Coordination
- Support the planning and coordination of drainage, CCTV, rehabilitation, civils and environmental works.
- Assist with daily and weekly project schedules, ensuring crews, vehicles, plant and equipment are allocated effectively.
- Track project progress and help identify any issues that may affect timelines, access, resources or completion.
- Liaise with operations, sales, accounts and field crews to keep jobs moving efficiently.
Job Packs & Documentation
- Prepare and issue job packs including RAMS, drawings, permits, inductions, site details and relevant client information.
- Ensure crews have the correct documentation, access details, site contacts and job instructions before attending site.
- Maintain document control across project files, templates, forms, registers and completion records.
- Support the preparation of project handover information and close-out documentation.
Client & Crew Communication
- Confirm dates, scope of works, access requirements and site prerequisites with clients.
- Provide clear updates to clients where job dates, scope, access or timelines change.
- Act as a communication link between clients, office teams and field crews.
- Help resolve blockers quickly and professionally to reduce delays on site.
CRM, WIP & Job Control
- Create and update jobs, work orders and project records in the CRM system.
- Maintain accurate project information including job status, site notes, contacts, dates, documentation and completion details.
- Monitor work in progress and follow up on missing information, job notes, dockets, reports or site records.
- Ensure completed works are handed over to accounts for invoicing within agreed timelines.
Subcontractors, Plant & Procurement
- Assist with booking approved subcontractors, plant, equipment and specialist services where required.
- Raise purchase orders and verify supplier dockets, timesheets and site records.
- Help ensure subcontractors have the required documentation, insurances, training records and site information before attending works.
Reporting & Continuous Improvement
- Assist in preparing daily and weekly project updates, schedules and WIP reports.
- Capture lessons learned from delays, access issues, resourcing challenges or documentation gaps.
- Suggest practical improvements to project processes, communication and job close-out.
- Support the wider team in improving visibility, accountability and consistency across project delivery.
Health, Safety & Compliance Support
- Assist with the circulation and tracking of toolbox talks, RAMS, permits and site documentation.
- Support the maintenance of training records, certification and compliance documentation where required.
- Log near misses, site feedback and safety-related information through the correct internal process.
- Help ensure project documentation is complete, accurate and available when needed.
Qualifications & Experience
The ideal candidate will have:
- 2+ years’ experience in project co-ordination, operations administration, scheduling, construction administration, utilities, civils, facilities management or field service.
- Strong organisational skills with excellent attention to detail.
- The ability to manage multiple jobs, deadlines and priorities at the same time.
- Confidence communicating with clients, crews, subcontractors and internal departments.
- Good written and verbal communication skills.
- Experience using Microsoft Office, Google Workspace or similar systems.
- CRM experience is an advantage, particularly Salesforce or Field Service systems.
- Familiarity with RAMS, permits, site documentation, job packs or basic construction/site terminology would be beneficial.
