Job Title: Admin Assistant
Contract Type: Part-Time, Fixed-Term Contract for 7 weeks
Location: M7 Business Park, Naas, Co Kildare
Hours: 15 hours per week, worked over 2 days
Reporting to: Retail Operations Coordinator
Start Date: Immediate start preferred

Job Purpose
The Office Administrator will provide administrative and organisational support to ensure the smooth day-to-day running of the office. This role includes data entry, general office administration, supporting the management team, handling communications, and managing incoming and outgoing post.
Key Responsibilities
Administration & Office Support

Provide general administrative support across the organisation

Maintain organised filing systems (electronic and paper)

Prepare documents, letters, and reports as required

Order office supplies and maintain stock levels

Assist with meeting preparation, including scheduling, printing, and room setup
Data Entry

Accurately input and update data across internal systems and spreadsheets
-
Manage shop sales database entry with a high level of attention to detail

Maintain databases and ensure records are up to date
Communication & Correspondence

Answer and make phone calls in a professional and friendly manner

Respond to and manage incoming emails and general queries

Direct enquiries to the appropriate staff members
Post Management

Manage all incoming and outgoing post

Sort and distribute incoming mail

Prepare outgoing mail, including registered post and courier collections
Support to Management Team

Provide day-to-day administrative support to the management team

Assist with diary management and scheduling meetings

Prepare documentation and materials for meetings

Take minutes where required
General Office Duties

Maintain a tidy, organised, and welcoming office environment

Support administrative aspects of projects and events as required

Carry out any other duties appropriate to the role
Person Specification
Preferred Experience (not essential)

Knowledge of general administrative practices

Experience in a similar administrative or office support role
Skills & Competencies

Comfortable communicating over the phone

Strong computer skills, including Microsoft Office

Good written and verbal communication skills

Strong organisational skills and attention to detail

Ability to work effectively as part of a team or on own initiative
Other Information
This is a part-time, fixed-term contract position. Working week flexibility is required to meet the needs of the organisation.
