Job Description
Position Title: Finance Administrator
Location: Tallaght Childcare Centre, St. Dominic’s Road, Millbrook Lawns, Tallaght, Dublin 24
Hours: 25hrs Mon – Fri (excluding breaks (flexibility is required))
Responsible to: Finance Manager
Purpose: Reporting to the Finance Manager, the Finance Admin worker will be responsible in ensuring efficient financial operations and timely, accurate financial reporting across the organisation. Also essential is to ensure children’s income fees are maintained on The Hive with records kept up to date. Flexibility in the role is required to also support reception at busy times.
Primary Duties:
· Process purchase invoices, supplier payments, and expense claims.
· Raise invoices for parents and monitor payments.
· Reconcile bank accounts, supplier statements, and customer accounts.
· Maintain accurate financial records and filing systems.
· Assist in the preparation of quarterly management accounts and financial reports.
· Support budget preparation and forecasting activities.
· Monitor accounts payable and accounts receivable balances.
· Process journals and general ledger entries as required.
· Process payroll and employee expenses.
· Support statutory reporting requirements.
· Liaise with parents, suppliers, and the Board regarding finance queries.
· Support internal and external audits by providing requested documentation.
· Ensure compliance with company financial policies and procedures.
· Perform general administrative duties to support the finance function.
· Weekly returns on HIVE
· Inputting CHICKS on HIVE and managing subvention changes
Reception/Admin Duties (at busy periods)
· Meeting & greeting parents and guardians, and visitors
· Answering telephone and allocating calls where appropriate
· Receiving and receipting payments from parents
· Supporting the admin person during busy times
Other
· Working as part of a staff team and contributing and supporting the team approach within the centre
· Being flexible with regards to hours of work in order to pursue the objectives of the childcare centre
· To carry out any other related duties as may be assigned by Management
Qualification:
Certificate, Diploma, or Degree in Accounting, Finance, Business, or related field desirable.
Skills & Experience:
· Previous experience in a finance administration, accounts assistant, or bookkeeping role.
· Strong understanding of accounting principles and financial processes.
· Proficiency in Microsoft Excel and Microsoft Office applications.
· Experience with accounting software (e.g., Sage, Xero, QuickBooks, SAP, or similar).
· Experience using the NCS Hive would be an advantage.
· Excellent attention to detail and accuracy.
· Strong organisational and time-management skills.
· Good communication and interpersonal skills.
· Ability to work on own initiative and as part of a team.
