Office Manager / HR & Administration Coordinator – Job Share
About Elderwell
Elderwell is seeking two organised, proactive and dependable people to form a shared Office Manager / HR & Administration Coordinator role in Carrigaline.
Together, the successful candidates will provide 60 hours of cover per week, Monday to Friday, supporting the smooth running of the office and wider management team. This is a varied role combining administration, HR, rostering, payroll support, compliance and practical coordination of our therapeutic recreation programme.
The successful candidates will work closely together, sharing information and responsibilities to ensure good communication and continuity.
Key Responsibilities
Therapeutic Recreation Materials & Service Support
- Collect used therapeutic recreation materials and activity packs from service locations in Cork cit and county.
- Sort, check and replenish materials as required.
- Prepare and assemble packs for the following month's programme.
- Coordinate delivery of prepared materials to service locations.
- Maintain simple records of materials and deliveries.
- Travel between service locations as required. Travel for work is subsidised.
Office Administration
- Manage office emails, telephone enquiries and correspondence.
- Source daily cover for staff absences.
- Maintain filing systems, shared drives and company records.
- Coordinate office supplies and general office requirements.
- Support meetings, training and online events.
- Provide administrative support to management.
HR, Rostering & Payroll
- Maintain employee files, HR records and training records.
- Process onboarding and recruitment administration.
- Update annual leave, sickness and absence records.
- Prepare and coordinate monthly staff rosters.
- Support payroll preparation and ensure relevant deadlines are met.
Compliance & Records
- Maintain accurate administrative and compliance records.
- Conduct regular personnel file reviews.
- Support data management and record keeping.
- Ensure documentation is maintained in line with company policies and procedures.
Essential Requirements
- Previous experience in office administration, HR administration, payroll support or a similar role.
- Excellent organisational and time-management skills.
- Strong IT skills, including Microsoft Office.
- Excellent communication skills and attention to detail.
- Ability to manage multiple priorities independently.
- Professional, reliable and proactive approach.
- Practical, flexible and collaborative approach to working as part of a job share.
- Willingness to travel between service locations.
Desirable
- Qualification in Business Administration, HR, Management or related field.
- Experience in healthcare, social care, education or community services.
- Experience coordinating activities, programmes or resources.
- Full clean driving licence.
The Ideal Candidates
We are looking for two people who could work well together and as part of the wider team are highly organised, practical, adaptable and people-focused.
You will be comfortable sharing responsibility, communicating clearly and maintaining effective handovers. A “can-do” attitude, strong attention to detail and a genuine commitment to supporting the wellbeing and dignity of older people are essential.
Job Share & Working Arrangements
- Two-person job share – 60 hours combined per week
- Monday to Friday
- Office presence is required from 8:30am–4:30pm, with at least one member of the management team available onsite for phone and email.
- The division of the 60 hours will be agreed based on availability, experience and organisational needs.
- Initially primarily office-based, with a future possibility of some remote working.
- Some evening/Saturday training and team events may be required.
- Monthly online team/support meeting, currently the 2nd Monday or Tuesday evening, for approximately one hour.
- Travel for work is paid
