Setanta Vehicle Sales is Ireland's leading Renault Trucks dealer, providing new and used truck sales, workshop repairs, maintenance, parts, warranty support and fleet solutions from its Dublin operations. The company operates a busy commercial vehicle workshop servicing Renault Trucks, Vans and Trailers.
Role Purpose
The Warranty & Claims Administrator is responsible for ensuring all workshop warranty and contract claims are accurately processed and submitted within manufacturer and company requirements, while also managing the timely and accurate retail invoicing of workshop jobs. The role plays a critical part in maximising warranty and contract claims recovery, maintaining accurate records, supporting workshop profitability and delivering excellent customer service.
This position requires strong attention to detail, excellent administrative skills, and the ability to work closely with Service Advisors, Workshop Controllers, Technicians, Parts Personnel and Renault Trucks warranty teams.
Key Responsibilities
- Prepare, process and submit manufacturer warranty and contract claims in accordance with Renault Trucks and other supplier warranty policies.
- Review job cards, technician reports and supporting documentation to ensure warranty claims are fully compliant before submission.
- Monitor outstanding warranty claims and proactively follow up on rejected, queried or unpaid claims.
- Investigate claim rejections and work with workshop staff to obtain additional supporting information.
- Ensure claims are submitted within required manufacturer deadlines.
- Maintain accurate records and audit trails for all claims submitted.
- Liaise with Renault Trucks, and other suppliers regarding warranty approvals and reimbursement queries.
- Assist in preparing warranty reports and performance metrics for management.
- Support warranty audits and ensure all documentation is properly retained and accessible.
Retail Workshop Invoicing
- Prepare and issue accurate customer invoices for workshop repairs, servicing, CVRT preparation and related work.
- Review completed job cards to ensure labour, parts and subcontract costs have been correctly captured.
- Verify retail, contract and account customer pricing in accordance with company policies.
- Ensure invoices are raised promptly following completion of workshop jobs.
- Resolve invoicing discrepancies in collaboration with Service Advisors, Workshop Controllers and the Accounts Department.
- Process credit notes and invoice adjustments where required.
- Assist with customer account and billing queries.
Skills & ExperienceEssential
- Minimum 2 years' experience in a similar role .
- Strong computer literacy including Microsoft Office (Excel, Outlook and Word).
- Excellent organisational and time management skills.
- Ability to manage multiple priorities in a fast-paced workshop environment.
- Strong numerical accuracy and attention to detail.
- Excellent communication and customer service skills.
- Ability to work independently and as part of a team.
Desirable
- Experience within a commercial vehicle, truck, automotive or dealership environment.
- Warranty administration experience.
- Experience using Dealer Management Systems (Kerridge, Autoline, Protean, Keyloop or similar).
- Knowledge of workshop invoicing processes.
- Understanding of Renault Trucks (or other OEM) warranty procedures.
- Experience working with service, parts or workshop departments.
