Speedy Flower Limited manages a portfolio of residential properties across Dublin. We are committed to maintaining safe, comfortable and well-managed homes while providing a professional and responsive service to our tenants.
We are seeking an organised, responsible and proactive Lettings and Property Manager to manage residential lettings and support the day-to-day operation of our property portfolio.
The successful candidate must be able to communicate professionally in both English and Mandarin, as the position involves regular communication with English-speaking and Mandarin-speaking tenants, suppliers and other stakeholders.
2 Key Responsibilities
3 Lettings and Tenancy Management
- Respond to enquiries from prospective tenants and arrange property viewings.
- Conduct property viewings and provide accurate information about available properties.
- Process tenancy applications consistently and in accordance with company procedures, equality legislation and data-protection requirements.
- Verify applicant identification, references and other required documentation.
- Prepare tenancy documentation and coordinate the signing of tenancy agreements.
- Coordinate tenant check-ins, check-outs, property inventories and key handovers.
- Assist with RTB registrations and maintain accurate tenancy records.
- Monitor upcoming tenancy and lease expiry dates.
- Coordinate tenancy renewals, notices and tenant departures in accordance with company procedures and applicable legislation.
- Maintain regular and professional communication with tenants throughout their tenancies.
- Investigate tenant complaints, property-related incidents and potential breaches of tenancy agreements.
- Escalate serious or sensitive tenancy matters to senior management when appropriate.
4 Property Management and Maintenance
- Conduct regular property inspections and prepare clear inspection reports, including photographs and recommended actions.
- Identify maintenance requirements, property damage, safety concerns and operational inefficiencies.
- Respond promptly to maintenance requests and prioritise urgent matters.
- Obtain quotations and arrange repairs through approved contractors and suppliers, subject to the company’s approval procedures.
- Coordinate property access between tenants, contractors and other service providers.
- Monitor maintenance and refurbishment works to ensure they are completed properly, on time and within the approved budget.
- Verify the quality of completed maintenance and construction work through regular site visits.
- Coordinate ongoing property services, including cleaning, waste collection, landscaping, pest control, fire-safety servicing and security.
- Maintain accurate records of inspections, maintenance requests, quotations, approvals, invoices and completed works.
- Identify opportunities for property improvements and present recommendations to management.
- Assist with urgent property matters and follow the company’s emergency-response procedures.
5 Reporting and Administration
- Maintain accurate and up-to-date information in the company’s property-management system.
- Prepare regular reports covering lettings, occupancy, inspections, maintenance and outstanding issues.
- Track vacant properties and help prepare them for reletting as efficiently as possible.
- Work closely with the accounts, maintenance and management teams.
- Follow company policies, expenditure limits and approval procedures.
- Protect confidential tenant, company and property information.
- Carry out other reasonable duties related to lettings and property management.
6 Essential Requirements
- Fluent written and spoken English
- Fluent spoken Mandarin, with sufficient written ability for business communication
- Previous experience in residential lettings, property management, facilities management or a closely related position
- Excellent communication and customer-service skills
- Strong organisational and time-management skills
- Responsible, proactive and able to work independently
- Patient and professional when dealing with tenants, contractors and suppliers
- Ability to manage multiple properties and competing priorities
- Strong problem-solving and conflict-resolution skills
- Good written reporting and record-keeping skills
- Competence in Microsoft Office, email and digital property-management systems
- Legal authorisation to work in Ireland
- Availability to work the full Monday-to-Saturday schedule
7 Desirable Requirements
- Knowledge of Irish residential tenancy legislation and RTB procedures
- Experience coordinating contractors and maintenance works
- Existing PSRA licence or relevant property-services qualification
- Full driving licence valid for use in Ireland
- Access to a vehicle for authorised business travel
8 Working Hours and Pay
This is a full-time position working six days per week:
- Monday to Friday: 9:00 a.m. to 6:00 p.m.
- Saturday: 10:00 a.m. to 6:00 p.m.
- Sunday: Weekly rest day
A one-hour unpaid lunch break will be provided each working day. The normal paid working time is 47 hours per week.
Pay starts from €14.50 gross per hour and will depend on the successful candidate’s experience and qualifications.
Any additional hours or after-hours emergency cover must be approved in advance and managed in accordance with Irish working-time requirements.
