Summary Job Description:
The King’s Hospital School is seeking to hire an experienced and highly motivated Administrator to support the Deputy Head of Academics. This is an integral role within the School and requires high-level administrative support, impeccable organisational skills, and complete discretion.
The Administrator will have the following responsibilities:
- Provide proactive, high-level administrative support to the Deputy Head of Academics.
- Maintain and update Department of Education and KH Management Information Systems.
- Attend internal weekly and or monthly meetings and take accurate minutes
- Prepare academic and boarding lists, year head structures, and parent correspondence.
- Manage secure storage of Leaving Certificate project materials and handle exam results, copies, and appeals for Junior and Leaving Certificates.
- Process applications and requests from past pupils for transcripts and exam resits.
- Collaborate with the Parent Teacher Association to organise key academic events, including the annual Careers Evening and Mock Interviews for 6th Years.
· Prepare and submit student information for external agencies (e.g., HSE vaccination lists).
· Coordinate and oversee students’ participation in external testing programs.
- Supporting the AEN department by maintaining accurate records of pupils with AEN, taking meetings and maintaining filing. Weekly administrative support to the AEN department.
· Supporting ad-hoc projects as required.
· Cover reception at lunchtime for an hour once per week.

Person Specification
Essential Skills
- Accomplished communication skills, both written and verbal.
- Discretion and confidentiality due to the nature of the work.
- Demonstrate the ability to prioritise workload and to work independently.
- Proficient I.T skills including the use of Microsoft 365 suite.
· Understanding and knowledge of MIS.
· High standard of accuracy and great attention of detail.
Desirable Skills:
- Experience working in a similar educational environment is preferable.
- Ability to look critically at working practises and identify improvements.
- Demonstrates flexibility of mind and working practices, responding effectively to changing priorities and contributing positively to a dynamic academic environment.
Education and Qualifications:
The successful candidate is likely to have at least three years’ experience as an Administrator.
Schedule of Work:
Monday – Friday 9.00 – 16.30 /9.30 – 17.00 (as agreed)
Month of July and the first two weeks of August off.
October and February mid-term breaks off
Two weeks at Easter off.
