Underground Eye Drains is a specialist drainage inspection, surveying, and rehabilitation company serving residential, commercial, and industrial clients across the county of Cork and surrounding regions.
We are a practical, fast moving team that values accuracy, reliability, and strong communication between office and field operations. As we continue to grow, we are seeking a highly organised and proactive Office Coordinator to become an essential part of our operations team.
This is a varied and rewarding role for someone who enjoys keeping things organised, supporting the management team, and helping a busy field operation run smoothly. No two days are the same, and you will play a key role in supporting our technicians, management team, and customers.
About the Role
This role reports directly to the Operations Director and plays a key part in supporting the day to day running of the business. You will act as a central point of coordination between the office, field technicians, and management, helping to ensure smooth communication, efficient scheduling, and accurate documentation across all operations.
You will work closely with the Operations Director to implement processes, manage priorities, and support the ongoing development and efficiency of the business. This is a trusted support role where initiative, reliability, and strong communication are essential.
Key Responsibilities
Administration & Communication
- Manage company email inboxes and customer correspondence.
- Assist the Operations Director with various administrative and operational requests.
- Maintain organised electronic and paper filing systems.
- Prepare documentation, reports, and customer communications.
Scheduling & Operations Support
- Assist with scheduling jobs and updating the operations board.
- Coordinate service bookings and appointments.
- Liaise with technicians to ensure job information is accurate and up to date.
- Prepare and distribute daily and weekly operational information.
Reporting & Quotations
- Prepare CCTV survey reports and customer job summaries.
- Type and issue quotations and supporting documentation.
- Ensure reports are completed accurately and professionally.
Accounts & Invoicing Support (when required)
- Print and process invoices.
- Assist with accounts payable administration.
- Support record keeping and financial documentation.
Fleet & Equipment Coordination
- Schedule and monitor vehicle servicing, repairs, CVRT inspections, and maintenance requirements.
- Track and coordinate repairs and servicing of CCTV inspection equipment and other operational assets.
Compliance & Certification Management
- Maintain employee certification records and training schedules.
- Monitor expiry dates and coordinate renewals.
- Support compliance documentation and company record keeping.
What We're Looking For
- Strong organisational and time management skills.
- Excellent written and verbal communication abilities.
- High attention to detail.
- Ability to manage multiple priorities in a fast paced environment.
- Confidence using Microsoft Office and general office software.
- Previous administration, coordination, or office management experience preferred.
- Experience in construction, utilities, engineering, trades, or service industries would be an advantage but is not essential.
