Purpose of the Role
The Finance & Commercial Assistant is responsible for supporting the finance function through accurate accounting, payroll, treasury and commercial control activities. The role acts as a key link between commercial operations and finance, ensuring that purchase orders, supplier invoices, customer orders, delivery documentation and accounting records are complete, accurate and fully reconciled.
The role will support subledger processing, payroll administration, cash flow forecasting, bank reconciliations, foreign exchange transactions and treasury activities while ensuring commercial documentation is correctly matched to financial records and company procedures.
Key Responsibilities
Commercial Documentation & Financial Controls
- Review and verify commercial documentation including purchase orders, sales orders, delivery notes, shipping documentation, customs documentation and invoices.
- Ensure commercial transactions are accurately reflected within the accounting and ERP systems.
- Match supplier invoices to authorised purchase orders and supporting documentation.
- Match customer orders, dispatch records and delivery documentation to sales invoices.
- Investigate and resolve discrepancies between commercial documentation and accounting records.
- Monitor unbilled deliveries, uninvoiced receipts and outstanding transactions.
- Maintain complete and accurate audit trails for all commercial transactions.
- Assist with internal control procedures and compliance requirements.
Accounting & Subledger Management
- Process purchase ledger, sales ledger and general ledger transactions.
- Post invoices, credit notes, receipts, payments and journals accurately and in a timely manner.
- Maintain customer and supplier account records.
- Perform supplier statement reconciliations.
- Reconcile customer and supplier balances.
- Assist with month-end and year-end accounting activities.
Payroll Administration
- Prepare and process weekly payroll.
- Maintain payroll records and supporting documentation.
- Process overtime, pension contributions, statutory payments and payroll deductions.
- Ensure payroll is completed accurately and within required deadlines.
Treasury & Cash Flow Management
- Perform daily, weekly and monthly bank reconciliations.
- Assist with payment processing and treasury administration.
- Prepare and maintain cash flow forecasts.
- Monitor cash balances and expected receipts and payments.
- Assist with foreign exchange transactions and FX monitoring.
- Support banking activities and treasury reporting.
Reporting & Finance Support
- Assist with preparation of management reports and financial analysis.
- Support audit requests and compliance reviews.
- Assist with budgeting and forecasting activities.
- Support continuous improvement of finance and commercial processes.
Key Performance Indicators
- Accuracy of accounting transactions and subledger postings.
- Timely completion of reconciliations.
- Payroll accuracy and timeliness.
- Accuracy of cash flow forecasts.
- Resolution of commercial documentation discrepancies.
- Compliance with company controls and procedures.
- Quality and completeness of accounting and commercial records.
Pay: €32,000.00-€38,000.00 per year
