Purpose of the Post
A key role of the Radiology Clerical Supervisor (Grade V) is to ensure that the administrative function of the Radiology Department is managed in an effective and efficiently manner while maintaining high standards of clerical practice with the areas. The post holder is expected to achieve and maintain targets as directed by their Line Manager, Operations Director, and/or Deputy CEO/CEO.
Principal Duties and Responsibilities:

Overall responsibility for the Roster for Radiology Clerical Staff.

Overall responsibility to ensure that all employee records are updated and correct including annual leave, sick leave, parental leave, etc.

Completing Back to Work Meetings, Probationary Reviews/Performance Management Meetings and any disciplinary meetings for staff, if required.

Overall responsibility to ensure processes are followed by staff.

Super-user from a clerical perspective in Agfa/IPMS if necessary and any other systems that may be used in Radiology Dept.

Rectify any clerical errors made by clerical staff and ensure staff receive feedback/additional training as required.

Deal with Radiology billing issues and taking payment where required.

Overall responsibility on overseeing the outsourcing projects for radiology reports from a clerical perspective and working closely with the Radiographers on compiling the lists for outsourcing.

Review/manage waiting lists with the RSM and Radiographers.

Deal with telephone queries and liaising with Radiologists, Radiographers, Patients, GPs, etc.

Working closely with the PAC/RIS Office.

Liaising with Patient Accounts Office to follow up on admissions/private health insurance forms where necessary.

Deal with patients in relation to any issues/problems they may have, in an compassionate and empathic manner.

Arrange regular maintenance checks for fax, photo copier and other office equipment and ensure that office supply stock levels are adequate.

Be proficient in booking appointments, the full registration/payment process for patients, and ensure this is done in a timely and accurate fashion.

Complete Radiology Admin Reports as requested for hospital management.

Support a continuous improvement environment.

Liaise with colleagues across all departments in the hospital as required.
